Project Coordinator

Location: On-site

About the Role

We're looking for a detail-oriented Project Coordinator to help plan, organize, and execute projects from kickoff through completion. In this role, you'll keep work moving by coordinating tasks, managing schedules, maintaining documentation, and keeping everyone aligned. You'll also partner closely with the marketing team on their intake process — gathering requirements, organizing incoming requests, and helping prioritize the work that supports advisors and day-to-day decision-making. If you thrive on juggling multiple priorities and take pride in keeping projects on track, we'd like to hear from you.

Key Responsibilities

  • Support a variety of projects by coordinating tasks and ensuring timely progress
  • Coordinate meetings, take minutes, and track action items and responsibilities
  • Create and maintain project schedules, responsibility lists, and status summaries
  • Receive, organize, and file project documentation, including purchase orders, budgets, payroll, and contracts
  • Assist the marketing team with the intake process — gathering requirements and organizing incoming requests
  • Help evaluate and prioritize incoming requests to support advisors in decision-making
  • Ensure smooth communication and alignment between stakeholders and project teams
  • Work closely with the project manager to ensure project objectives and deadlines are met
