Position Overview

The Shipping & Invoicing Coordinator is responsible for coordinating customer shipments, processing invoices, and supporting order fulfillment activities. This hands-on role involves preparing shipments, locating and packaging products, generating shipping and invoicing documentation, and communicating with customers to ensure orders are delivered accurately and on time.

Key Responsibilities

  • Process customer orders and coordinate outbound shipments.
  • Locate, pick, verify, package, and prepare products for shipment.
  • Generate invoices, packing slips, shipping labels, and other shipping documentation.
  • Verify billing information, purchase orders, and order accuracy.
  • Coordinate with warehouse staff, carriers, and internal departments to ensure timely order fulfillment.
  • Track shipments and resolve shipping or delivery issues.
  • Communicate with customers regarding order status and shipment updates.
  • Process customer invoicing and resolve billing discrepancies.
  • Maintain accurate shipping, invoicing, and inventory records in the ERP system.
  • Assist with inventory control, cycle counts, and general warehouse duties as required.
  • Ensure compliance with company procedures and shipping regulations.

Qualifications

  • Previous experience in shipping, logistics, order fulfillment, invoicing, or a related role.
  • Experience in a manufacturing or industrial environment is an asset.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency with Microsoft Office and ERP or inventory management systems.
  • Ability to manage multiple priorities in a fast-paced environment.
