Job description

We are looking for a motivated, organized, hands-on HVAC Purchasing, Inventory & Warranty Assistant to join our Operations Department.
This is an excellent opportunity for someone who wants to learn the HVAC business, develop operational skills, and grow into a larger role within the company. This is not a strictly clerical position. You will work alongside our Operations team and technicians, vendors, and suppliers while gaining experience in purchasing, inventory management, equipment, and warranty processes.
The right person is dependable, willing to learn, comfortable working with both people and physical inventory, and interested in building a long-term career with our company.
Responsibilities
Purchasing & Vendor Support
  • Assist with ordering HVAC equipment, parts, materials, and supplies.
  • Enter and track purchase orders and monitor deliveries.
  • Request pricing and availability from vendors.
  • Follow up on backorders, shortages, and delayed shipments.
  • Help maintain vendor information and purchasing records.
  • Work with technicians and Operations to make sure needed materials are available for upcoming jobs.
  • Learn HVAC equipment, parts, brands, and purchasing processes.
Inventory & Warehouse
  • Receive and inspect incoming HVAC equipment, parts, and materials.
  • Verify deliveries against purchase orders and packing slips.
  • Organize, label, and stock parts and equipment.
  • Help maintain an accurate inventory of commonly used parts and materials.
  • Assist with inventory counts and resolve discrepancies.
  • Locate and pull parts and equipment for technicians and jobs.
  • Keep warehouse and inventory areas clean, organized, and safe.
  • Assist with loading, unloading, and moving materials when needed.
Warranty & Returns
  • Assist with processing HVAC equipment and parts warranty claims.
  • Gather model numbers, serial numbers, invoices, and other required information.
  • Communicate with manufacturers and distributors regarding warranty issues.
  • Track warranty claims, returns, replacements, and credits.
  • Help coordinate defective parts and equipment returns.
Operations Support
  • Work closely with technicians and the Operations team to keep jobs supplied and moving.
  • Help identify missing or incorrect materials before they create delays.
  • Assist with preparing equipment and materials for service and installation jobs.
  • Help improve organization and processes within the warehouse and Operations Department.
  • Take on additional responsibilities as your knowledge and skills grow.
Qualifications
  • HVAC industry experience is a plus, but we are willing to train the right person.
  • Previous experience in HVAC, construction, warehouse, parts, purchasing, or operations is helpful.
  • Strong organizational skills and attention to detail.
  • Dependable, proactive, and willing to learn.
  • Comfortable working with computers as well as physical inventory.
  • Good communication and problem-solving skills.
  • Comfortable working in a warehouse/shop environment.
  • Ability to lift and move HVAC parts, equipment, and materials as needed.
  • Must be willing to get hands-on and help wherever needed.
