Job description

Position Summary

We are seeking a dynamic, highly organized, and motivated Administrative Coordinator to support our Purchasing, Sales, Production Planning, and Logistics operations. This role is ideal for someone who enjoys working in a fast-paced manufacturing environment, communicates effectively with customers and suppliers, and thrives in a collaborative team.

Key Responsibilities

  • Serve as the primary administrative contact for customers, suppliers, freight providers, and internal departments.
  • Process customer orders and purchase orders from receipt through completion.
  • Coordinate order fulfillment and monitor delivery schedules.
  • Track inventory levels and ensure material availability.
  • Schedule inbound and outbound shipments with transportation providers.
  • Prepare shipping documentation and coordinate domestic and international freight.
  • Support import and export documentation and customs compliance.
  • Maintain accurate ERP records and production-related data.
  • Assist Purchasing, Sales, Production, and Management with administrative tasks.
  • Continuously improve administrative processes and support operational excellence.

Qualifications

  • Associate's degree or equivalent business education preferred.
  • 3+ years of experience in administration, customer service, purchasing, logistics, or supply chain within a manufacturing environment.
  • Experience with import/export processes and transportation coordination is preferred.
  • Knowledge of customs documentation is considered an asset.
  • Experience working with ERP systems, preferably Microsoft Dynamics 365.
  • Strong Microsoft Office skills, particularly Excel and Outlook.
  • Excellent organizational and time-management skills.
  • Ability to prioritize multiple tasks in a dynamic manufacturing environment.
