Job description

Purchasing Associate:   We are looking for an honorably discharged veteran who is motivated and detail-oriented eager to support our purchasing office operations. Strong organizational skills, proficiency in Microsoft Office Suite, and excellent communication abilities for handling clerical tasks, customer inquiries, and team coordination.
The ideal candidate will need general awareness of business office activities that we will build upon with training to become proficient in supporting our area specialist.
Role Overview
As our Purchasing Associate, you will support the Purchaser in sourcing and procuring all materials, supplies, and equipment needed for scenery and prop fabrication. You'll work closely with Project Managers, Shop Foremen, and Technical Designers to ensure we get the right materials at the right price, with reliable delivery times.
Key Responsibilities
  • Source and negotiate with vendors for raw materials (wood, metal, plastics, fabrics, paints, adhesives, hardware, lighting, etc.) and specialty items.
  • Issue purchase orders, track deliveries, and manage lead times to align with tight production schedules.
  • Maintain strong vendor relationships and continuously seek better pricing, quality, and terms.
  • Monitor inventory levels of commonly used materials and manage stock appropriately.
  • Review and compare quotes, evaluate suppliers based on price, quality, reliability, and sustainability.
  • Resolve any supply chain issues, shortages, or quality problems quickly.
  • Work with the accounting team on invoice reconciliation and cost tracking.
  • Identify cost-saving opportunities while maintaining the high standards our clients expect.
  • Stay current on new materials and fabrication technologies relevant to scenic construction.
Requirements
  • 2+ years of purchasing or procurement experience (experience in construction, manufacturing, theater, film, or events is a strong plus).
  • Strong negotiation and vendor management skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Proficient in Microsoft Office (especially Excel) and experience with inventory or ERP software.
  • Knowledge of common scenic fabrication materials and suppliers is highly desirable.
  • Must be a proactive problem-solver who can anticipate needs before they become urgent.
  • Valid driver's license and ability to occasionally visit suppliers or job sites.
