Job description

POSITION SUMMARY:

The Purchasing Assistant supports the procurement team by handling administrative tasks, processing purchase orders, coordinating with suppliers, and ensuring timely and accurate purchasing activities. This role is essential in maintaining efficient supply chain operations, supporting cost control, and ensuring compliance with company policies. Candidate will work closely with the Purchasing Associate Director.


SUPERVISION RECEIVED AND EXERCISED:

Reports directly to the Purchasing Associate Director. May need to assist other departments in additional clerical duties, but does not exercise supervision over any position.


DUTIES AND RESPONSIBILITIES:

  • Researching and comparing suppliers, goods, and services.
  • Monitoring purchase orders to ensure EEOC as well as other contractual requirements are met.
  • Requesting cost proposals.
  • Preparing and processing purchase orders.
  • Maintaining records of all transactions, purchase orders, receipts, and payments.
  • Scheduling and verifying purchase deliveries.
  • Building and maintaining positive, long-term supplier relations.


QUALIFICATIONS/REQUIREMENTS:

  • High School diploma is required.
  • Degree in business administration, procurement, or a related field preferred.
  • 1 year previous experience as a purchasing Assistant preferred or in a similar role accepted in lieu of degree.
  • ERP systems experience SAP B1 preferred.
  • Ability to deal effectively with public.
  • Well-developed interpersonal skills.
  • Handle multiple phone lines.
  • Intermediate skills in programs such as MS Word, Excel and Outlook.
  • Must be able to prioritize.
  • Strong organizational and documentation skills.
  • Strong research and analytical skills.
  • Bilingual (English/Spanish)
  • Ability to work with limited supervision


PHYSICAL/MENTAL REQUIREMENTS:

  • Ability to communicate (read and write) effectively in a business environment.
  • Ability to follow procedures and instructions.
  • While performing the duties of this job, the employee is regularly required to sit and use his/her fingers.
  • The employee frequently is required to talk and/or hear.
  • The employee is continuously required to sit.
  • The employee is occasionally required to stand and walk.
  • The employee must occasionally lift and/or move up to 10 pounds.
