SUMMARY
The Purchasing Assistant, in conjunction with the Procurement Manager is responsible for handling administrative and operational tasks such as processing a formal Purchase Order (PO) by communicating (via email, web/online, and phone) with various types of vendors, assist with managing and replenishing existing inventory programs, tracking and updating statuses of processed PO's. Collectively, the Purchasing Assistant will collaborate with various departments to determine their purchasing needs, identify suitable suppliers, obtain competitive pricing, and ensure timely delivery of goods and services. The Purchasing Assistant will play a crucial role in ensuring the company has the necessary stock/paper, materials, goods, and services to operate efficiently and effectively.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assist Procurement Manager in collaborating with department leaders and production planners to assess and understand purchasing requirements.
  • Review requisitions, prepare/issue accurate purchase orders, and ensure adherence to company policies and procedures.
  • Address any Requisition or PO discrepancies to Procurement Manager
  • Obtain competitive quotes, and secure favorable pricing and terms for printing materials and services.
  • Assist Procurement Manager in researching and identifying potential suppliers/vendors within the print industry, evaluating their capabilities, quality standards, and pricing structures.
  • Monitor processed PO's, maintain effective communication with suppliers to ensure timely delivery, and promptly resolve any delivery issues or discrepancies.
  • Maintain accurate records of all processed PO's.
  • Assist Procurement Manager in monitoring inventory stock levels, and proactively initiate reordering to maintain optimal inventory for printing operations.
  • Foster and nurture strong relationships with Hatteras internal team members as well as our suppliers.
  • Always maintain professionalism and be a team player to meet our external and internal customers' needs.
  • Additional responsibilities as assigned.

REQUIRED EDUCATION / EXPERIENCE
  • Proven experience as a purchasing agent or in a similar procurement role within the print industry.
  • Knowledge of stock/paper, specialty substrates, print purchasing practices including familiarity with the various types of print materials, equipment, and services.
  • Familiarity with print-specific sourcing and purchasing software systems (PACE) is a plus.
  • Strong analytical and problem-solving skills, particularly in assessing print quality and suitability for various projects.
  • Willingness to negotiate when communicating with suppliers.
  • Detail-oriented with exceptional organizational skills to manage multiple purchasing tasks/projects simultaneously.
  • Ability to work independently and prioritize tasks effectively within a fast-paced print environment.
  • Proficient in using Microsoft Word and Excel for data analysis and reporting.
