Purchasing Assistant
Position: Full-Time, Monday - Friday, 8:00 AM to 5:00 PM
Required Education: HS Diploma and/or GED Equivalent

Position Overview:
We are seeking a detail-oriented and proactive Purchasing Assistant to support our Purchasing Department. This individual will play a critical role in managing purchase orders, resolving issues related to defective products, maintaining accurate records, and ensuring smooth communication with suppliers. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work effectively both independently and as part of a team.
Duties & Responsibilities:
  • Generate replacement purchase orders for defective products that need to be returned and replaced.
  • Address issues resulting from defective hardware by documenting the problem (e.g., taking photos), coordinating with suppliers, and ensuring replacements are processed efficiently.
  • Assist Accounts Payable with invoice processing and statement reconciliation as needed, ensuring timely payments and accurate records.
  • Conduct regular counts of products to ensure inventory levels are accurate and up to date.
  • Submit and track hardware orders to suppliers, ensuring accuracy in quantities and delivery times.
  • Review order acknowledgments for discrepancies in pricing, quantities, shipping addresses, ship dates, and other critical details. Resolve discrepancies promptly.
  • Stay up to date on current buy programs and ensure the company is receiving the correct discounts and pricing from suppliers.
  • Monitor and follow up on order acknowledgments and shipping dates, ensuring all information is entered accurately and in a timely manner.
  • Ensure proper tracking and completion of spreadsheets, maintaining up-to-date records in accordance with departmental deadlines.
  • Perform other duties as assigned based on the needs of the business and the Purchasing Department

Minimum Qualifications:
  • Proficient in Microsoft Office products, including, but not limited to, Word, Excel, and Gmail
  • Proven experience in a purchasing, administrative or supply chain role is desirable
  • Have both a functional and working knowledge of computers in general
  • Must pass pre-employment background check and drug screen
  • Must have excellent oral communication skills and positive interpersonal skills
  • Excellent attention to detail and problem-solving abilities
  • Ability to work independently and as part of a team in a fast-paced environment
  • Must be self-motivated and proactive.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines
