Job description

The Gift Shop Inventory Specialist supports inventory operations for both Woman’s Hospital Gift Shop locations, including Serendipity Gift Shop and Mom & Baby Boutique. This position is responsible for receiving and inspecting merchandise, maintaining accurate inventory records, pricing and labeling products, organizing stock, replenishing merchandise, and transferring inventory between 2 onsite locations.

The Gift Shop Inventory Specialist also performs cycle counts, researches inventory discrepancies, monitors stock levels and backorders, supports annual physical inventory, and communicates inventory concerns to the Gift Shops Manager. This position may also assist with customer service and sales-floor operations as needed.

Requirements:

  • High school diploma or equivalent required.
  • Associate degree or coursework in business, retail, inventory management, supply chain, or a related field preferred.
  • One year of retail, receiving, inventory control, stockroom, warehouse, merchandising, or related experience preferred.
  • Experience with a retail point-of-sale or inventory system preferred.
  • Strong attention to detail, organization, accuracy, and follow-through.
  • Effective communication, customer service, and basic computer skills.
  • Ability to learn Lightspeed Retail and other hospital systems.
  • Ability to prioritize work across two retail locations and safely handle merchandise.
  • Must be able to regularly lift and carry up to 35 pounds and perform constant standing and walking, with frequent bending, squatting, and reaching.

Responsibilities: 

  • Receive merchandise for both Gift Shop locations and verify shipments against purchase orders, packing slips, and invoices.
  • Inspect incoming merchandise for accuracy, quality, damage, and completeness.
  • Identify and communicate shortages, overages, damaged merchandise, substitutions, pricing differences, and other shipment discrepancies.
  • Accurately enter and verify merchandise information in Lightspeed Retail or the applicable inventory system, including quantities, costs, retail prices, vendor information, item descriptions, SKUs, and barcodes.
  • Print and apply price labels and barcodes and prepare merchandise for placement on the sales floor.
  • Organize, store, and replenish merchandise for Serendipity Gift Shop and Mom & Baby Boutique.
  • Transfer inventory between Gift Shop locations and maintain accurate transfer documentation.
  • Perform routine cycle counts, inventory spot checks, and reconciliations; research discrepancies and communicate findings to the Gift Shops Manager.
  • Monitor inventory levels, backorders, discontinued items, and low-stock conditions and communicate potential shortages or excess inventory.
  • Assist with annual physical inventory, including organizing merchandise, completing counts, entering and validating inventory results, and researching discrepancies.
  • Monitor dated and time-sensitive merchandise, including food, beverages, skincare, seasonal products, and other applicable items; rotate stock and identify products requiring markdown, return, or disposal.
  • Coordinate with the Gift Shops Manager regarding damaged or missing merchandise, vendor returns, credits, backorders, and shipment status.
  • Maintain clean, safe, and organized receiving, stockroom, storage, and back-stock areas.
  • Support seasonal merchandise transitions, new product launches, promotional events, markdowns, clearance activities, and merchandise replenishment.
  • Prepare routine inventory, receiving, transfer, discrepancy, and utilization information to support purchasing and inventory-management decisions.
  • Provide courteous customer service and assist with sales-floor operations during high-volume periods or staffing needs.
  • Identify opportunities to improve inventory accuracy, receiving processes, stockroom organization, product flow, and loss prevention.
  • Perform other duties as assigned in accordance with department needs, hospital policies and procedures, and the mission of Woman’s Hospital.
