Position Summary

The Office Administrator serves as the first point of contact for visitors, employees, and external partners while providing administrative, HR, office operations, and coordination support across the organization. This role is responsible for maintaining a welcoming and efficient office environment, assisting with recruitment and onboarding activities, supporting workplace safety initiatives, and ensuring the smooth day-to-day operation of office services.

Duties and Responsibilities

Reception & Front Desk Operations

  • Answer and direct incoming phone calls and emails for multiple locations.
  • Greet and assist visitors, clients, candidates, and vendors.
  • Manage incoming mail and distribute correspondence to appropriate employees.
  • Maintain professional and organized reception, meeting room, kitchen, and common areas.

Office Administration & Facilities

  • Coordinate office, kitchen, and restroom supply inventory and purchasing.
  • Manage office vendor relationships, including cleaning services and office suppliers.
  • Assist with office organization, inventory management, and workspace setup.
  • Coordinate company-branded merchandise, business cards, promotional materials, and corporate supplies.
  • Run occasional business-related errands and support special events and team activities.
  • Provide general administrative support to management and staff as required.

Human Resources Support

  • Assist with recruitment activities, including resume screening, interview scheduling, and candidate communication.
  • Support employee onboarding and offboarding processes, including document management and account setup.
