Position Summary:

Tetra Tech Inc. Disaster Recovery (TDR) is currently hiring for a Proposal Coordinator to assist with leading, planning, scheduling, and overseeing the timely development and delivery of high-quality responses to municipal & state government business opportunities, from pre-RFP to post-submission activities, in a fast-paced environment.

Essential Job Functions:

The following duties are considered essential to the role. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.

  • Manage the successful development of compliant, competitive, cogent, and compelling proposals through effective collaboration across internal teams.
  • Apply experience and best practices in proposal management to ensure the timely delivery of proposal submissions that are fully compliant with solicitation instructions.
  • Lead and analyze RFI, RFQ, RFPs and other bid documents for requirements, in a quick and efficient manner. RFPs in this area typically have a response window within three weeks.
  • Develop the proposal schedule, outline, and proposal development plan.
  • Work with the proposal team to determine author assignments and integrate win strategy, themes, and discriminators into proposal.
  • Use approved AI tools to support proposal development activities, such as summarizing solicitation requirements, organizing compliance matrices, developing draft outlines, brainstorming win themes, refining draft language, and improving readability.
  • Take ownership of the quality of the proposal for color team reviews and final delivery by performing rigorous quality assurance checks on draft and final documents.
  • Prepare and lead efficient Proposal Kickoff meetings and recurring status calls, ensuring activities adhere to the proposal schedule.
  • Review, validate, and refine AI-generated content using solicitation requirements, source materials, subject matter expert input, and company standards before incorporating content into proposal deliverables.
  • Manage the development of oral presentations, discussions, and proposal revisions.
  • Ensure the high-quality content and appearance of final proposal deliverables.
  • Coordinate and support the production, reproduction, binding, and packaging in finalizing the proposal submission and response processes.

Required Qualifications:

  • High school education or higher required.
  • 2 years of administrative, marketing, or proposal development experience in a professional services firm.
  • Ability to use standard English writing styles to write proposal sections; this includes information research and synthesis from multiple sources (subject matter experts, previous proposals) into a cohesive, easy-to-read, and persuasive final product.
  • High proficiency in the MS Office Suite (Outlook, Word, Excel, PowerPoint, Project, Teams), and Adobe Creative Suite.
  • Familiarity with AI-enabled writing, summarization, or productivity tools, with the ability to use these tools responsibly to support professional work products.
  • Ability to work on multiple concurrent projects.
  • Ability to adapt to various people and working styles under tight deadlines.
  • Possess excellent leadership, communication, prioritization, and organizational skills.
  • Editing skills; excellent knowledge of grammar and punctuation.

Preferred Qualifications:

  • Bachelor's degree in business or communications field, or equivalent professional experience.

Physical Requirements / Work Environment:

  • Must be able to sit for extended periods of time.
  • Operating a computer, headset, and keyboard.
  • A professional work environment that is clear of distractions.

Compensation:

  • The pay range for this position is between $50,000 to $70,000 annually. However, the pay offered may vary depending on primary work location, job-related knowledge, skills, experience, and internal parity.
