Proposal Coordinator
Colorado Springs, CO | Denver, CO | San Antonio, TX

REC is seeking an experienced Proposal Coordinator to join a growing Marketing and Communications team supporting strategic business development and pursuit efforts across multiple markets and geographic regions.
This role is responsible for coordinating, developing, editing, and producing high-quality proposals, qualifications packages, interview materials, presentations, and marketing collateral in support of public and private sector pursuits.
The ideal candidate is highly organized, detail-oriented, collaborative, and capable of managing multiple concurrent deadlines in a fast-paced professional services environment. Strong writing, editing, formatting, and document production skills are essential, along with advanced proficiency in Adobe InDesign and Microsoft Office.
Key Responsibilities

Proposal Development & Coordination
-Coordinate proposal submissions including formatting, layout, technical writing, editing, proofreading, and production
-Assist in developing qualifications packages, project descriptions, resumes, presentations, and pursuit materials
-Review and analyze RFPs and RFQs to ensure compliance, readability, consistency, and quality
-Coordinate proposal schedules and deadlines to ensure timely submissions
-Work closely with technical teams, project managers, business development professionals, and marketing staff throughout the pursuit process
Marketing & Business Development Support
-Collaborate with graphic designers to develop proposal graphics, charts, tables, and other client-facing materials
-Support client presentations and interview preparation
-Assist with business development initiatives, client maintenance efforts, conferences, and special events
-Maintain proposal databases, SharePoint resources, and document management systems
Team Collaboration
-Work independently and collaboratively within a deadline-driven environment
-Support additional marketing, proposal, and administrative initiatives as needed
-Foster a professional, positive, and team-oriented work environment
Qualifications
Bachelor's degree in Marketing, Communications, Business, or related field, or equivalent experience
Minimum 6 years of proposal coordination, marketing, communications, or professional services experience
AEC industry experience strongly preferred
Advanced proficiency in Adobe InDesign and Microsoft Office Suite
Excellent writing, editing, proofreading, and document formatting skills
Strong organizational, time management, and multitasking abilities
Experience with SharePoint, CRM platforms, and proposal management systems preferred
Valid driver's license
