Role Overview:
The Property Tax Assistant role operates on a split-season model across the calendar year:
• Agent Support Season (approximately 6 months): The Property Tax Assistant works directly alongside Commercial Real Estate Tax Consultants to prepare evidence, manage hearing schedules, and support client communications during the active protest/hearing season.
• Client Success Season (approximately 6 months): The Property Tax Assistant transitions into a field-facing role, conducting 6–8 client site visits per day — similar in scope to the Client Services Concierge role — visiting clients at their property locations to build rapport, review properties, educate clients on property tax services, and support retention efforts.
Job Summary:
This individual will be responsible for assisting Commercial Real Estate Tax Consultants by:
- Contacting high profile commercial real estate property owners to obtain financial documents for commercial hearings;
- Evaluating commercial property financial documents for content and accuracy;
- Assisting in the preparation of commercial property hearing evidence for commercial hearings as scheduled by the Appraisal District’s Daily Dockets
- Organizing and maintaining property Agent’s hearing schedule.
Job Responsibilities:
• Prepare Property Tax evidence files in advance of hearing date.
• Ability to research commercial property characteristics by use of internet and internal company programs.
• Answer phone calls and respond to clients as well as transfer client calls to appropriate staff.
• Provide explanation of Property Tax services.
• Identify, research, and resolve client issues.
• Communicate with other departments and management to resolve problems and expedite work as needed.
• Recognize, document, and alert the Commercial Agent of any issues.
• Provide support to Property Tax Consultant.
• During Client Success Season: conduct 6–8 client site visits per day, review properties, take photos, build client rapport, educate clients on property tax services, and identify opportunities to add new properties (soft selling).
• Operate electronic handheld devices (iPad) during site visits as required.
• Other duties as required.
Requirements:
Property Tax License — Company-Sponsored Requirement:
All Property Tax Assistants are required to obtain their Texas Property Tax Consultant license while employed in this role. Licensing is fully sponsored by OCA and pre-licensing coursework/exam time is counted toward working hours. Details below:
• OCA will cover all licensing fees and required coursework costs.
• Designated pre-licensing coursework time and exam preparation are considered compensable work hours.
• Employees are expected to actively pursue licensure as part of their professional development within this role.
Education Requirements:
· High School Diploma or equivalent (GED, HiSET, or TASC accepted)
· College degree a plus
Job Requirements:
· Reliable transportation required; must be able to pass an MVR (Motor Vehicle Record) screening
· Commercial Real Estate background a plus
· Strong mathematical computation skills highly recommended
· Pre-law, Paralegal, or legal experience a plus
· Excellent phone, email and personal contact skills in communicating with commercial real estate owners
· Convey professionalism and inspire confidence
· Strong initiative, independent judgment, and ability to learn
· Organizing and prioritizing skills
· Proficiency with Microsoft Excel, Word, and Outlook
· Ability to conduct 6–8 field site visits per day during Client Success Season
