Job description

OVERVIEW:
This is a unique position and requires two individuals, i.e. spouses, siblings, partners, familiar relationships (two individuals that can work and live together effectively)
  • These two individuals must apply together
  • Must have familiarity with working together
  • Each Caretake does not need to know how to perform all these duties, but they must be able to accomplish them between the two
  • Must agree to live on the property
  • Must be on site June – August (blackout period for vacations)
  • Lodging and utilities are covered
  • Each person will be paid a salary of $50K/annually

POSITION SUMMARY:
These roles focus on the interior and exterior infrastructure, facility maintenance, repairs, vendor relationships and grounds and structure to “The Property” at Eagle River, WI.
ESSENTIAL QUALIFICATIONS:
  • Ability to manage multiple projects
  • Prepare the inside of the property for seasonal changes and needs
  • Work together to take care of any additional needs for the Property and guests
  • Able to operate household appliances and equipment needed to maintain the interior of the property
  • Communicate effectively
  • Able to operate equipment, such as boats, jet skis, lawn mower equipment, pool equipment, snow removal equipment, and other seasonal and operational equipment needed to maintain the property

INTERIOR RESPONSIBILITIES:
  • Inspect the interior regularly and ensure it is maintained and running according to the owner’s expectations and standards.
  • Clean interior of main lodge, conference center, and upper boathouse
  • Help manage property expenses
  • Purchase supplies needed to maintain the property
  • Stock household and office with the appropriate supplies
  • Maintain linens and laundry needs
  • Have the household prepared for guests, which includes the cabana and towels
  • Prepare the kitchen with supplies
  • Maintain interior according to weather conditions and needs

PROPERTY OPERATIONS:
  • Managing upkeep of grounds, gardens, and all buildings associated with the property
  • Regularly walking through property and maintaining high maintenance standards
  • Maintain instruction files and manuals, and warranties
  • Scheduling and overseeing renovations
  • Keep interior and exterior of property clean
  • Maintaining exterior grounds to include mowing the lawn, planting and caring for flowers, shrubs, removing snow, and removing debris and other projects to maintain the integrity of the exterior and various weather conditions
  • Handle emergency repairs or work with the appropriate vendor to resolve the need
  • Maintain preventative maintenance scheduled and test protocols, mechanical systems, vehicles, and power equipment
  • Maintaining pool equipment and usage along with watercraft equipment
  • Establish direct vendors for plumbing, electrical systems, HVAC, security systems, fire alarms, swimming pool, vehicles, septic, irrigation systems, power equipment, pest control, fire safety equipment, landscaping, and internet systems.
  • Knowledge of cleaning boats, jet skis, and power tool equipment
  • Order flowers for planting for the fall
  • Tend to property flowers and plantings: planting, watering, pruning, and deer control
  • Assist the primary Caretaker with additional grounds support as needed

TECHNICAL:
  • Familiar with Microsoft Office
  • Security systems and fire alarms
  • Smart home systems
  • Act as “on-site” security

ADMINISTRATION:
  • Correspond with Accounts Payable for property expenses
  • Keep vehicle and watercraft licenses current
  • Maintain property bank account
  • Help maintain records and property documentation
  • Manage vendor proposals, invoices, and contracts
  • Manage estate budgets regarding projects, vendors, and day-to-day operations
  • Maintain a working calendar of current and future projects
  • Act as a liaison for the owner in matters relating to the property

HOSPITALITY:
  • Organizing events/functions for visitors
  • Preparing the Property appropriately for visitors
  • Being available for needs for all visitors
  • Provide transportation to and from the airport
  • Be the point of contact for the guests needs
  • Stocking the fridge and running errands
  • Assist with cleaning and other hospitality needs
  • Be “on-call” for guests needs

COMMUNICATION:
  • Able to communicate effectively with the Chairwoman and other Executive team members in a timely and efficient manner
  • Able to coordinate with the organizational structure of TEI
  • Able to utilize email and video conferencing
  • Communicate any needs to the CEO and obtain appropriate approval for projects and other property needs
  • Employees will further be responsible for meeting the objectives and goals of the Employer, as set forth from time to time in policies, standards, regulations, and directives from the Employer.
  • Inform TPM and ownership of any problems within the home
  • Ability to work alongside each other and communicate with them effectively

OTHER:
  • Previous experience as a Caretaker a plus
  • Must be flexible and able to pivot to the needs of the property and guests
  • Available to guests on the property
  • Manage the property in all inclement weather conditions
  • Be available to the property’s needs 24/7
  • Ability to clean and prepare the property
  • Able to stand on feet for extended periods of time  
  • Willingness to get the job done and meet the physical demands of the job
  • Perform additional duties as needed by the property and as assigned by the CEO
  • Able to lift at minimum of 40lbs or more
  • Have a strong aptitude with operating equipment including but not limited to HVAC, plumbing, electrical, etc.
