Assistant Project Manager – Restoration & Construction
Location: Northbrook, IL
Schedule: Monday through Friday - 7:00 AM to 3:30 PM (OT paid as time and half after 40 hours)

Pay: $42k-$45k/yr

Employment Type: Full-Time

Job Summary

We are seeking a highly organized and detail-oriented Assistant Project Manager to support the successful planning, coordination, and execution of restoration and construction projects. The ideal candidate will assist with project scheduling, documentation, customer communication, and administrative functions while ensuring projects remain on schedule and within budget. This position requires excellent organizational, communication, and multitasking skills in a fast-paced environment.

Key Responsibilities

  • Assist in developing and maintaining project timelines, schedules, and budgets to ensure efficient workflow and successful project completion.
  • Coordinate meetings by scheduling appointments, preparing agendas, and recording detailed meeting minutes.
  • Manage and maintain project documentation, including contracts, reports, correspondence, and other project-related records using Microsoft Office and Google Workspace.
  • Provide administrative support through data entry, filing, document preparation, and proofreading.
  • Maintain project calendars, monitor deadlines, and follow up on outstanding action items to help ensure project milestones are achieved.
  • Answer and direct incoming phone calls professionally while serving as a point of contact for clients, vendors, and team members.
  • Provide exceptional customer service by responding promptly to inquiries and maintaining positive client relationships.
  • Assist project managers with daily operational tasks and support overall project coordination as needed.

Qualifications

  • Previous experience in office administration, project coordination, or a related administrative role.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Gmail, Drive).
  • Experience with QuickBooks or basic bookkeeping is preferred.
  • Excellent computer skills, including accurate data entry, typing, and document proofreading.
  • Strong written and verbal communication skills with professional phone etiquette.
  • Bilingual communication skills are highly desirable.
  • Previous customer service or clerical experience demonstrating professionalism, attention to detail, and problem-solving abilities.
