Sales & Event Assistant
We are currently accepting applications for a Sales & Event Assistant for 2 high-volume venues on Broadway... Whiskey River Saloon & Lucky Bastard Saloon. The role of the Sales & Event Assistant is to assist the Sales & Event Manager and drive incremental small group event / banquet sales for multiple locations and brands through the sourcing, booking, and professional execution of "a cut above" group events. The Sales & Event Assistant will assist with the execution & follow-up of all promotions, programs, and communications designed to create and enhance brand awareness and drive top-tier event, banquet, & catering leads necessary to fuel the Company's growth.
Primary Responsibilities & Duties include:
  • Increase brand recognition for group events for an individual or multiple concepts and locations participating in the development of a strategic plan that explores new, creative methods/tactics to engage prospective group customers.
  • Cultivate leads by attending networking events, community events, and local government or chamber meetings.
  • Manage incoming reservation requests for groups under 30 (phone, email, DM, Tripleseat)
  • Book and confirm small-scale dining reservations, private tables, birthdays, bottle service experiences, and Bachelor/ettes.
  • Update Tripleseat system with accurate guest details, timing, and special requests and finance info.
  • Send confirmations, reminders, and day-of communication to guests.
  • Serve as the main point of contact for guests from inquiry to arrival on site.
  • Answer questions about menus, pricing, minimums, and venue offerings.
  • Recommend upgrades such as premium tables, bottle service packages, add-ons, or special touches.
  • Personalize each reservation (birthdays, celebrations, VIP guests, etc.)
  • Handle last-minute changes, cancellations, and re-bookings professionally
  • Prepare daily and weekly reservation summaries for staff
  • Communicate guest details and special requests to service team (MGMT, hosts, servers, bar staff)
  • Coordinate table setups, signage, or small décor elements for special occasions.
  • Ensure all reservations align with venue flow, staffing, and capacity. Check for updated venue close times and previously booked private events.
  • Maintain reservations in Tripleseat. Ensure notes, and guest profiles in software are updated and organized
  • Track deposits, minimums, and final payments where applicable.
  • Assist with daily reporting (covers, revenue from reservations, VIP bookings). (This means redeeming the Tripleseat taken payments into Revel. The GM will assist with these).
  • Maintain clear communication with management on booking trends and capacity
  • Schedule and manage on site client tours and consultations
  • Be on site assistant for all events booked with venue, not just the small-scale , mid-sized, and major buyout events.
  • Assist with preparing and sending proposals, contracts, and invoices for small-scale events
  • Maintain continuous communication with booked clients, answering questions and guiding them through the planning process
  • Follow up with leads and maintain pipeline updates
  • Oversee event setup to ensure it aligns with client expectations and venue standards
  • Troubleshoot any issues that arise calmly and efficiently
  • Communicate with internal staff regarding event needs and schedules
  • Help maintain overall aesthetic and brand standards of the venue
  • Provide a warm, professional, and polished experience for all clients and guests
  • Uphold the brand image and standards of both venues at all times
  • Anticipate client needs and go above expectations when possible
  • Actively support the flawless execution of small and large group events, on-site, ensuring we exceed the group organizer's and their guests' expectations.
  • Serve as backup to, and assist with the Sales & Event Manager duties in their absence.

Position Requirements:
  • Must be able to work on-site and travel locally on occasion. This is not a home-based position.
  • Must have at least 3 years successful experience with event/banquet execution.
  • Experience with catering and event sales is a plus.
  • Must have a professional appearance and demeanor.
  • Must have professional written and verbal communication skills.
  • Must project an energetic and outgoing personality to the clients and their guests. You must find opportunities to exceed their expectations and represent the company well.
  • Must have strong organization and multi-tasking skills
  • Must have excellent time-management skills and work well under pressure.
  • Must have a great attention to detail and be able to hold to a high standard.
  • Must have a valid driver's license and a good driving record.
  • Must be able to work in a fast-paced team environment.
  • Must be able to work nights, weekends, and holidays as needed.
  • Must be able to periodically work in a loud environment for hours at a time.
  • Must be able to regularly and navigate all areas of the venue for extended periods of time without sitting.Must be able to visually discern quality, cleanliness, and safety issues during an event and be able to taste and smell to discern food quality.
