HDR is looking for people to join a strong team of project and technical staff who execute and deliver water-oriented planning, engineering and science projects for some of the most important water agencies in California. The Senior Project Coordinator position will be filled by a service-oriented, organized, and proactive person who can support project teams in successfully meeting project deadlines, delivering reports and designs, completing project administrative tasks and maintaining compliance with HDR project management and documentation guidelines. Key responsibilities include: 

  • Assisting with Project Initiation and documentation

  • Project Setup

  • Creating Data Storage Locations

  • Supporting/Developing Project Review Forms

  • Facilitating Project Reviews

  • Managing Project Data

  • Submitting Procurement Requests for Subcontracts

  • Updating Projects' Physical Percent Complete

  • Collaborating with the Project Accountant for monthly invoicing

  • Meeting coordination and minutes

  • Document editing and formatting

  • Deliverable tracking

  • Travel Coordination as needed

  • Assisting with Safety, Health, and Environmental procedures and documentation

  • Creating and updating Project SharePoint Sites

  • Assisting with Project Close-out and documentation

  • Supporting Project Manager(s) and project team(s) as needed

  • Supporting Sr. Accountant

  • Supporting Technical Specifications

  • Compose, type, format, proofread, edit and organize documents, reports, specifications and correspondence

  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Assist with developing project guides, and provide information and support for project reviews
  • Apply company quality assurance guidelines and procedures for project document management
  • Prepare, organize and assist with contracts and sub-contracts
  • Coordinate meetings and assist with presentations
  • Exhibit professionalism with clients
  • Work closely with multiple Project Managers and project teams
  • Assist with or prepare project invoices as needed
  • Perform other duties as needed


Preferred Qualifications

  • Knowledge and experience with SharePoint and MS Teams are preferred

  • Knowledge and experience with Oracle and Pronto are preferred

  • Ability to work with multiple personality types

  • Attention to detail

  • Proficient time management skills

  • Strong communication and Leadership skills

Required Qualifications
  • Associate degree in a closely related field or combination of education and relevant experience
  • A minimum of 3 years related experience
  • Proficiency in Microsoft Word and Excel
