Purpose
We are seeking an Operations Co-op who can support project management, recruiting coordination, internal operations, company communications, research, and special projects.
This role is for someone who is excited to wear many hats, learn quickly, and help wherever needed. You do not need years of experience. You do need to be organized, proactive, curious, trustworthy, and excited to work in a startup environment.
The role
This role reports directly to the CEO
Operations and project management (55%)
  • Help keep internal projects organized by tracking priorities, owners, deadlines, and next steps
  • Translate tasks from meetings into Arcturus' project management system (ie. Jira, Kanbanchi, ClickUp,)
  • Support Arcturus' project management systems, including tools such as Jira, Confluence, Google Workspace, or other platforms
  • Help create and improve lightweight internal processes, templates, checklists, and documentation
  • Support vendor coordination, quote tracking, supply ordering, logistics, and office/lab organization
  • Jump into special projects that help move the company forward, whether that means research, planning, coordination, or execution
Communications and brand support (20%)
  • Help draft and organize social media content for the company
  • Support company communications around milestones, events, hiring, and external visibility
  • Help polish written materials across recruiting, internal communications, operations, and outreach
  • Create first-draft slide decks or simple visual materials for team updates, recruiting, investor updates, or other meetings for the CEO or team to refine
Hiring and team support (10%)
  • Help coordinate recruiting logistics, including candidate scheduling, applicant tracking (Ashby), interview coordination, and follow-up communication
  • Support job posting updates, candidate pipeline tracking, and recruiting-related organization
  • Assist with new hire onboarding logistics, including equipment tracking, account setup checklists, welcome details, and internal documentation
  • Help keep hiring processes organized as the team grows
Research and Special Projects (10%)
  • Conduct research on vendors, events, tools, partners, competitors, grants, labs, suppliers, or other topics as needed
  • Build simple trackers, spreadsheets, and databases that help the team make better decisions
  • Help organize contacts, meeting notes, action items, and follow-ups
  • Take ambiguous tasks and turn them into clear next steps, organized documents, or completed projects
Personal Support to CEO (5%)
  • Handle ad-hoc personal tasks that free up the CEO's time and attention
  • Manage any additional personal logistics if needed
Qualifications
  • Currently pursuing or recently completed a BS, MS, or PhD in operations, entrepreneurship, economics, communications, public policy, engineering, or another relevant field; no specific major is required
  • Excited to work at an early-stage startup and willing to wear many hats
  • Fast learner who is willing to teach themselves new tools, systems, and workflows
  • Highly organized and detail-oriented
  • Strong written and verbal communication skills
  • Proactive, resourceful, and comfortable asking questions when something is unclear
  • Able to handle shifting priorities and move quickly without losing track of details
  • High ownership, strong follow-through, and a positive attitude
Preferred qualifications
  • Prior internship, part-time role, or project experience in operations, executive support, recruiting, project management, communications, or a startup environment
  • Familiarity with tools such as Google Workspace, Project Management Software (Jira, Kanbanchi, Trello, ClickUp), Confluence, Ashby, Canva, Affinity, and the Google Suite (Docs, Slides, Sheets, etc.)
  • Experience helping with scheduling, recruiting coordination, social media, research, or project tracking
  • Interest in climate, energy, deeptech, materials, manufacturing, or electrification
