Location(s): Baraboo, WIType: Part-Time| Hourly| Hybrid Eligibleย 

MSA is seeking a Project Administrator to support our Utility Operations team. This role plays a critical part in ensuring projects are delivered on time, within budget, and at the highest quality standards. This position is part-time (estimated around 20 hours per week) with scheduling flexibility based on your preferences and availability.ย 

The Project Administrator provides organizational support across all project phases, from development through close-out, helping streamline processes, track progress, and foster strong client and team relationships.

Responsibilities

Role Responsibilities

  • Project & Operational Support

    • Support staff with administrative tasks and documentation.
    • Break down projects into manageable tasks, estimate timelines, and track progress.
    • Prepare and distribute project deliverables, reports, and metrics.
    • Assist with project setup in ERP, budgeting, and resource management.
    • Monitor expenses and progress to help projects stay on schedule and within budget.
    • Identify process inefficiencies and recommend improvements.
  • Phase-Specific Duties

    • Business Development & Marketing: Assist with proposals, RFP reviews, subconsultant coordination, and pipeline resource management.
    • Project Management: Support contracting, invoicing, QA/QC processes, subconsultant collaboration, and client follow-up.
    • Design & Delivery: Provide technical writing, documentation, and project communications support.
    • Bidding: Track bidders' questions, support addenda preparation, and review bid results.
    • Construction: Manage RFI tracking, submittals, contractor payments, and compliance documentation.
    • Close-Out: Assist with final surveys, project tagging, write-ups, and marketing collateral.
  • Other duties as assigned
Qualifications

  • Associate's degree in Business, Project Management, or related field, or Bachelor's required
  • 2+ years of experience in financial review, business operations, or project management required

  • Compensation Range: $24 -$38 an hour (commensurate with experience)
