Job Description


Summary:

This position plays a key role in supporting the day-to-day operations and long-term growth objectives of Borealis Fuels & Logistics. The ideal candidate will be highly organized, motivated, and able to work effectively in a fast-paced and flexible environment. The Operations Administrator will work closely with the corporate operations group and support the Billings, Montana, branch team in coordinating administrative, operational, and customer service functions. Strong customer service skills are essential, as this role serves as an important point of contact for both internal teams and external customers across our corporate and branch operations.


Duties & Responsibilities:

  • Provide administrative support to the Operations team and the local branch office, including Safety, Compliance, ERP systems, and operational projects.
  • Coordinate and facilitate customer requests and maintain customer information within the companys ERP software.
  • Assist with accounts receivable functions as directed by management.
  • Support procurement activities by assisting staff with purchasing requests and vendor coordination through approved company processes.
  • Prepare and maintain operational reports, presentations, spreadsheets, and data analysis as required.
  • Maintain accurate safety, inspection, maintenance, and compliance records in accordance with company standards and regulatory requirements.
  • Organize and maintain physical and electronic records to ensure accuracy, confidentiality, and accessibility.
  • Ensure compliance with company policies, procedures, and record-keeping requirements.
  • Facilitate communication between branch personnel, corporate departments, vendors, and external partners.
  • Manage incoming correspondence, emails, phone calls, and general office communications in a professional manner.
  • Assist with HR administrative functions, including onboarding, offboarding, employee documentation, and personnel record maintenance.
  • Support office operations by maintaining organization, administrative efficiency, and a professional work environment.
  • Provide general administrative and operational support to the branch team and management as assigned.


Qualifications:

  • Experience in administrative, operations support, or office coordination roles preferred.
  • Previous experience in the propane, logistics, transportation, or industrial services industry is considered an asset.
  • Knowledge of safety, compliance, and operational processes is preferred.
  • Strong computer skills with experience using Microsoft Office and cloud-based ERP systems.
  • Excellent communication, coordination, and customer service skills.
  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Ability to manage multiple priorities in a fast-paced and flexible work environment.

Education & Experience:

  • High school diploma or equivalent required.
