Job description

Location: Miami Florida
Title: Project Accountant

Position Summary
The Project Accountant is responsible for the financial and administrative setup and maintenance of projects within the Company's ERP system. This position works closely with Project Managers, accounting, billing, and operations to ensure projects are established accurately, maintained properly, and structured to support billing, revenue recognition, financial reporting, and project management.
The position requires strong attention to detail, accounting knowledge, and the ability to understand how project setup decisions impact downstream accounting and reporting.
Estimated salary range for this position is $50,000 to $70,000. The salary listed is an estimate and not guaranteed. The salary offered will vary based on experience, education, skills, abilities, and certifications/license if applicable
Primary Job Duties
Project Setup & Maintenance
  • Set up new projects within the ERP system based on approved contracts and project information.
  • Establish project phases, tasks, departments, disciplines, offices, and organizational assignments.
  • Enter and maintain project managers, principals, billing contacts, and other responsible parties.
  • Set up contract amounts, fees, budgets, billing terms, and project-specific financial information.
  • Establish labor, expense, consultant, and reimbursable billing parameters.
  • Set up project fee tables, billing rates, multipliers, and other billing-related information.
  • Establish project and phase-level limits when required.
  • Review project setup requests for completeness and accuracy before projects are activated.
  • Maintain project information throughout the project lifecycle, including contract amendments, additional services, fee changes, project manager changes, and organizational changes.
  • Close projects and phases when appropriate.
Contract & Financial Review
  • Review contracts and supporting documentation to identify information required for proper ERP setup.
  • Ensure contract values and project structure agree with approved agreements and amendments.
  • Identify inconsistencies between project setup requests, contracts, budgets, and billing requirements.
  • Work with Project Managers and administrative staff to resolve missing or conflicting project information.
  • Maintain documentation supporting project setup and subsequent changes.
Billing & Accounting Support
  • Ensure projects are structured correctly to support accurate client billing.
  • Assist billing staff in researching project setup issues affecting invoices.
  • Review billing terms, fee limits, rate tables, and project structures when billing discrepancies arise.
  • Assist with corrections to project setup when errors affect billing, revenue, WIP, or project reporting.
  • Support Accounting with project-related financial research and reconciliations.
  • Assist in identifying projects with incorrect or incomplete financial setup.
Project Financial Support
  • Assist Project Managers with understanding project financial information within the ERP system.
  • Review project budgets, fees, labor allocations, and financial structure for accuracy.
  • Assist with project transfers, organizational changes, and other financial adjustments.
  • Research project-level discrepancies involving labor, expenses, billing, WIP, revenue, or contract values.
  • Help ensure projects are assigned to the appropriate department, discipline, office, and organizational structure for financial reporting.
ERP Data Quality & Controls
  • Maintain accurate and consistent project financial data within the ERP system.
  • Follow established project setup procedures and accounting controls.
  • Identify recurring setup errors and recommend improvements to procedures or system configuration.
  • Perform periodic reviews of project records to identify missing or inaccurate information.
  • Assist with maintaining standardized project setup templates and procedures.
  • Support improvements to ERP workflows and accounting processes.
  • Maintain organized documentation supporting project setup and changes.
Internal Support
  • Serve as a resource for Project Managers and administrative staff regarding project setup requirements.
  • Answer questions regarding project structure and financial information within the ERP system.
  • Coordinate with Accounting, Billing, Operations, and Project Management to resolve project-related issues.
  • Assist with training employees on project setup procedures and ERP requirements.
  • Participate in special accounting, ERP, and process-improvement projects as needed.
Qualifications
  • Minimum of as least an Associate degree in Accounting or Finance, Bachelor's degree preferred.
  • Accounting coursework or equivalent practical accounting experience.
  • Experience working with accounting or ERP systems required.
  • Experience with Deltek Vantagepoint preferred: experience with other project-based ERPs like Deltek Vision, or Ajera, a plus.
  • Experience within an architecture, engineering, consulting, or professional-services environment is preferred.
  • Strong attention to detail and organizational skills.
  • Ability to read and interpret basic contract and financial information.
  • Strong Excel and general computer skills.
  • Ability to communicate effectively with Project Managers, accounting personnel, and administrative staff.
  • Ability to manage multiple project setup requests and priorities while maintaining accuracy.
