About the role.
This position will work cross-functionally to assist with creating and executing on strategies to enhance employee engagement and communication. Working closely with department leadership promoting company culture and employee engagement through various programs including, but not limited to employee communications, recognition, and rewards programs. Help play a crucial role in developing and executing internal communication strategies to engage, motivate, and align employees with the organization's goals and values. The position also provides all administrative support functions representing the Plant Manager, visitors to the Rice Lake plant, and other plant leadership.
What you'll be doing.
  • Answer and screen incoming calls in a professional manner, directing the caller to the appropriate department.
  • Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable and answer questions about organization and provide callers with address, directions, and other information.
  • Following appropriate health and safety protocols, greet on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Process incoming and outgoing mail and packages on a daily basis. Prepare daily paperwork for FED EX and UPS. Coordinate shipment of requested finished good samples. Tack certified mail recipients.
  • Maintain copiers and fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Maintain adequate levels of office supplies and maintain email distribution list.
  • Maintain micro-market and vending service and ensure employee forms are stocked.
  • Roll call for evacuation process to ensure staff and visitor safety
  • Create IT tickets for new hire and current employee system access changes.
  • Assist with new-hire orientations and entry of new-hire paperwork as needed.
  • Issue locker assignments to all new hires and replacements for current personnel.
  • Manage the product sale process by coordinating items to sell through the distribution centers, communicating to the employees the items for sale, coordinating the distribution to employees, tracking inventories and receipts.
  • Maintain key position lists and manage P Card usage and reconciliation.
  • Process incoming and outgoing mail, including overnight and Fed Ex/UPS.
  • Send flowers for bereavements, leaves, etc. and coordinate internal retirement celebrations as well as service award announcements and packet distribution.
  • Other duties as deemed necessary.

What you'll need to be successful.
  • Preferred degree in Marketing, Business or other related education / experience
  • Proven experience in internal marketing, employee engagement, or related roles.
  • Excellent written and verbal communication skills.
  • Strong organizational and project management abilities.
  • Familiarity with various internal communication tools and platforms.
  • Ability to work collaboratively across departments and levels within the organization.
  • A passion for company culture and creating differentiated employee engagement experiences
  • Proven track record of cultivating strong and trusting relationships with cross-functional partners
  • Ability to work with other departments on projects towards a common goal
  • Must be able, experienced, and competent in computer operations including MS Excel, MS Word, MS PowerPoint, MS Outlook, Power BI, MS Access, and Internet, with the ability to learn new software within a reasonable timeframe.
  • General understanding of the factory.
  • Incumbent should have proficient interpersonal and communication skills as well as typing skills, calculator, note-taking, general secretarial, professional telephone practices and similar office skills.
  • Thorough knowledge on computer applications and utilization with emphasis on database systems for data gathering or develop new solutions.
  • Excellent experienced organizational abilities to handle wide range of paperwork and directions by priority. May be asked to gather pertinent data and compose replies with manager's approval.
  • As the vital communications link, incumbent should be credible to work in a crisis situation meeting team objectives, or have a similar background experience.
