Job Summary:

The Receptionist is responsible for developing intra-office communication protocols, streamlining administrative procedures and inventory control. The Receptionist ensures smooth running of our company's offices and contributes in driving sustainable growth. The Receptionist's duties must be performed consistent with the Company's mission and values and adhere to Company policies and procedures.

Please note that this is an in-office position.

Key Duties and Responsibilities:

  • Open, close, and maintain the office Reception area
  • Open, close, and maintain the office kitchen space
  • Manage incoming and outgoing correspondence, including emails, letters, and packages
  • Answer and direct phone calls promptly, providing accurate information or routing calls to the appropriate department
  • Provides back up reception relief coverage for Toronto office (out of office relief)
  • Provide support for overall administrative activities for the office
  • Acting as the first point of contact for visitors and phone inquiries, providing a warm and professional welcome
  • Assist office staff in maintaining files and databases
  • Runs, assembles and packages payroll reports
  • Responsible for filing (or scanning) all necessary payroll and remittance documents
  • Administer the collection of remittance documentation for the facilitation of weekly remittances to Union(s) and various government agencies
  • Tracks stock of office supplies and places orders when necessary
  • Assists with all miscellaneous office related matters (coffee, paper shredder, water, etc)
  • Handle sensitive information with confidentiality and discretion
  • Other duties, as assigned

Essential Skills and Qualifications:

  • Experience answering and redirecting client phone calls
  • Experience coordinating local mail/courier services (FedEx, Canada Post, Zap, etc.)
  • Excellent oral and written communication skills
  • Proficient in Microsoft Word, Excel, Outlook
  • Detail oriented and works with a high degree of accuracy
  • Highly organized and flexible
  • Demonstrate a high level of professionalism, always showing respect for the client and for fellow employees
  • Must be self-directed and able to complete projects with limited supervision
  • Working knowledge of email, scheduling, spreadsheets and presentation software

Working conditions

  • Conditions are normal for an office environment
  • Hybrid work

Compensation

This position offers an expected compensation of $22 per hour, depending on skills and experience. This range reflects the anticipated salary for the successful candidate and complies with Ontario's pay transparency requirements.
