Job description

Dogwood Site Contractors is a full-service heavy civil contractor serving multiple industries across the Southeast. Established in 2021, Dogwood Site Contractors is committed to taking care of our people and our clients.

We are seeking a detail-oriented Project Management Administrator to provide essential administrative support to the Project Manager and project management team. In this role, you will be responsible for setting up project systems. Additionally, you will assist in identifying differences from the original cost during the bid process and communicate these differences to the Project Manager. You will also be responsible for ordering materials, typing subcontractor agreements and change orders, and handling phone calls and emails as directed by the Project Manager.

KEY RESPONSIBILITIES:


1. Administrative Support:

  • Assist the Project Manager in performing administrative duties related to project management, including documentation, scheduling, and communication.

2. Project Setup and Budgeting:

  • Set up project systems and assist PM with creating budgets using costs from bids and proposals, ensuring accuracy and alignment with project requirements.

3. Purchase Order Management:

  • Create and manage purchase orders, updating costs and tracking expenses to ensure adherence to budgetary constraints.

4. Cost Discrepancy Identification:

  • Identify differences from the original cost during the bid process and communicate these differences to the Project Manager for review and adjustment.

5. Material Ordering:

  • Order materials as directed by the Project Manager, ensuring timely delivery and coordination with suppliers and vendors.

6. Document Preparation:

  • Type subcontractor agreements, change orders, or other documents as directed by the Project Manager, maintaining accurate and organized records.

7. Communication Handling:

  • Handle phone calls and emails as directed by the Project Manager, providing timely responses and assisting with inquiries or requests.

8. Estimating Support:

  • Assist the Estimating team in obtaining quotes for the bid process or other needs, ensuring that accurate and competitive pricing information is obtained.

QUALIFICATIONS AND SKILLS:

    • High School diploma or equivalent; additional education or training in project management or administration is advantageous
    • Previous experience in an administrative role, preferably in a project management or construction environment.
    • Strong organizational and multitasking abilities, with the capacity to manage multiple tasks and priorities effectively.
    • Excellent attention to detail and accuracy in data entry, documentation, and record- keeping.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management software.
    • Strong communication and interpersonal skills, with the ability to collaborate effectively with team members and stakeholders.
    • Ability to work independently with minimal supervision and take initiative to solve problems or address issues as they arise.
