Job Title: Logistics Coordinator – Fleet Operations


Position Overview

We are seeking a detail-oriented Temporary Logistics Coordinator to support our Fleet Operations team. This role will focus on coordinating logistics activities, maintaining accurate fleet records, managing operational data, and supporting key projects. The ideal candidate will have strong Excel skills, excellent organizational abilities, and experience working in a fleet, transportation, or logistics environment.

This position requires someone who can manage multiple priorities, analyze data, communicate effectively across departments, and help improve operational efficiency.


Key Responsibilities

Fleet & Logistics Coordination

  • Support daily fleet operations, including vehicle tracking, scheduling, maintenance coordination, and operational reporting.
  • Maintain accurate fleet records including vehicle assignments, inspections, service schedules, registrations, and documentation.
  • Coordinate with internal teams, drivers, vendors, and service providers to ensure timely completion of fleet-related activities.
  • Assist with resolving logistics issues and escalating concerns as needed.

Data Management & Excel Reporting

  • Create, maintain, and analyze complex Excel spreadsheets to track fleet metrics, costs, inventory, and operational performance.
  • Utilize Excel functions including pivot tables, VLOOKUP/XLOOKUP, formulas, and data validation to organize and report information.
  • Prepare recurring reports and dashboards to support management decision-making.
  • Audit data for accuracy and identify discrepancies.

Project Coordination

  • Support logistics and fleet-related projects from planning through completion.
  • Track project timelines, action items, deadlines, and deliverables.
  • Coordinate communication between departments to ensure projects stay on schedule.
  • Assist with process improvements and documentation updates.

Administrative & Operational Support

  • Maintain organized records and files related to fleet operations.
  • Assist with purchasing, vendor coordination, and invoice tracking.
  • Provide general support to the logistics and operations team as needed.

Qualifications

  • 2+ years of experience in logistics, transportation, fleet operations, or related field preferred.
  • Strong Microsoft Excel skills required.
  • Experience working with fleet management systems, transportation software, or operational databases a plus.
  • Strong project coordination and organizational skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Excellent attention to detail and problem-solving skills.
  • Strong communication skills and ability to work independently.
