Position Overview
The Project Manager - Sales is responsible for managing and coordinating all phases of assigned customer projects from order entry through delivery and project completion. Serving as a critical liaison between customers, sales, operations, purchasing, vendors, and transportation teams, this role ensures projects are executed accurately, efficiently, and in accordance with customer requirements.
This position requires strong analytical and organizational skills, sound business judgment, and the ability to independently manage multiple projects in a fast-paced building products distribution environment. The Project Manager plays a key role in supporting sales growth, customer satisfaction, profitability, and operational efficiency.
Responsibilities and Qualifications
Key Responsibilities
Project Management & Order Execution
  • Manage assigned customer projects from initial order placement through final delivery and completion
  • Review, validate, and process purchase orders to ensure accuracy, completeness, and compliance with project requirements
  • Coordinate special orders with vendors, purchasing teams, and branch personnel
  • Oversee order entry, ticket generation, job costing, and project tracking within company systems
  • Monitor project schedules, milestones, and deadlines while proactively addressing delays, discrepancies, and project challenges
  • Maintain ownership of project execution to ensure customer expectations and company objectives are met

Pricing & Financial Management
  • Apply established pricing structures, contract terms, and margin objectives in accordance with company guidelines
  • Evaluate pricing exceptions and recommend adjustments that support profitability and customer retention
  • Review and resolve billing discrepancies, credits, adjustments, and invoicing concerns
  • Analyze project costs and financial impacts to support informed business decisions

Customer & Vendor Relationship Management
  • Serve as the primary point of contact for assigned customers and projects
  • Develop and maintain strong customer relationships through proactive communication and responsive service
  • Communicate order status, delivery schedules, product availability, and issue resolution updates to customers
  • Coordinate with manufacturers and vendors to confirm specifications, lead times, inventory availability, and production schedules
  • Resolve customer concerns and project issues in a timely and professional manner

Logistics, Delivery Coordination & Project Documentation
  • Coordinate shipments and delivery schedules with operations and transportation teams
  • Align delivery timing with customer jobsite requirements and project schedules
  • Anticipate and resolve logistical challenges while minimizing disruptions to customers and operations
  • Monitor project deliveries to ensure timely and accurate fulfillment
  • Prepare, review, and process submittals to ensure compliance with project specifications and customer requirements
  • Coordinate sample requests and customer approvals
  • Communicate approved product selections and specifications to manufacturers to initiate production
  • Maintain complete and organized project documentation, including approvals, correspondence, specifications, and project records

CRM & Reporting
  • Maintain accurate and current project information within CRM and business management systems
  • Track project progress, milestones, and completion status
  • Generate project reports, forecasts, and updates for sales leadership and management teams
  • Provide project insights and recommendations that support sales planning and operational effectiveness

Cross-Functional Collaboration
  • Partner with outside sales, operations, purchasing, accounting, and branch leadership teams to ensure successful project execution
  • Support District Sales Managers by providing project updates, forecasting information, and issue resolution recommendations
  • Contribute to process improvements that enhance customer service, operational efficiency, and project performance

Additional Responsibilities & Miscellaneous
  • Perform other duties as assigned to support Sales and corporate objectives

Qualifications
  • High school diploma or equivalent required; associate or bachelor's degree preferred
  • Minimum of 3 years of project management, sales support, customer service, construction materials, distribution, or related industry experience
  • Strong understanding of order management, pricing, logistics, and customer relationship management
  • Experience working with ERP, CRM, and project management systems
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
  • Ability to analyze information, solve problems, and make sound business decisions
  • Excellent communication, organizational, and interpersonal skills
