The Role: Project Coordinator

As a Project Coordinator, you will support construction and engineering teams by maintaining project documentation, tracking equipment, and coordinating document control activities. Your work helps ensure drawings, specifications, permits, and project records are accurate, current, organized, and available to the teams that need them.

You will work closely with Project Managers, engineers, contractors, consultants, and vendors to support the day-to-day coordination of active construction projects. This role requires strong organization, attention to detail, and consistent follow-through as project information changes throughout construction.

What You’ll Do
  • Maintain project document control records, including revisions, distributions, service requests, and transmittal logs.

  • Maintain master drawing logs and current drawing and specification packages for active projects.

  • Coordinate the distribution of drawings, specifications, and project documentation to engineers, project teams, subcontractors, consultants, and vendors.

  • Maintain permit drawings, record sets, and city or county-approved documentation.

  • Manage drawing revisions and slip sheet updates to ensure project teams have current information.

  • Track owner-provided equipment orders and coordinate delivery information with construction schedules.

  • Maintain document control systems using Procore, PlanGrid, Box, and other project platforms.

  • Generate and maintain drawing and specification reports using Prolog.

  • Organize original documents, revisions, and project records for accurate and timely retrieval.

  • Coordinate with reprographic vendors and consultants to produce and distribute project documentation.

  • Support Project Managers and project leadership with work order requests, reporting, and documentation needs.

  • Assist with internal audits and inspections to confirm project records are accurate and complete.

  • Identify missing, outdated, or inconsistent project documentation and coordinate corrections with the appropriate stakeholders.

  • Follow site safety requirements and established project procedures.

What We’re Looking For
  • You keep project information organized, accurate, and easy to find.

  • You communicate clearly with Project Managers, engineers, contractors, and vendors.

  • You pay close attention to revisions, deadlines, and project details.

  • You follow through on requests and keep stakeholders informed when information changes.

  • You can manage multiple priorities without losing accuracy.

  • You identify documentation issues early and work with the appropriate teams to resolve them.

  • You work collaboratively and contribute to consistent project execution.

  • You follow construction site safety requirements and maintain professional standards.

What You’ll Bring

Required Qualifications

  • 1–4 years of experience in construction coordination, document control, project administration, or a related role.

  • Familiarity with construction drawings, specifications, and document control processes.

  • Experience maintaining organized project records and filing systems.

  • Intermediate proficiency with Microsoft Word, Excel, and PowerPoint.

  • Ability to manage multiple tasks, deadlines, and document revisions in a fast-moving environment.

  • Strong organizational skills and attention to detail.

  • Clear written and verbal communication skills.

Preferred Qualifications

  • Experience with Smartsheet, Bluebeam, Procore, PlanGrid, Box, Prolog, or similar construction document management systems.

  • Experience supporting construction, engineering, or project management teams.

  • Familiarity with permitting documentation, drawing revisions, and document distribution workflows.

  • Experience coordinating with reprographic vendors or consultants.

We recognize that qualified candidates may not meet every preferred qualification. If your experience aligns with the core responsibilities of the role, we encourage you to apply.
