Addison Group is partnering with our client, a well-established organization, to hire a Project Coordinator to support a large-scale commercial construction initiative. This is an exciting opportunity to join a collaborative project team responsible for managing complex improvement projects. The ideal candidate is highly organized, proactive, and thrives in a fast-paced environment where attention to detail and strong communication are essential.

 

Job Description:

The Project Coordinator will provide administrative and project support to senior construction leadership while coordinating activities across internal departments, consultants, contractors, and vendors. This individual will help keep projects organized by managing documentation, tracking project milestones, supporting contract administration, and ensuring critical tasks move forward on schedule.

 

Key Responsibilities:

·        Coordinate project meetings by preparing agendas, documenting meeting notes, and tracking action items.

·        Maintain project schedules, reports, and status updates to support timely project execution.

·        Assist with contract administration, including organizing documentation, monitoring approvals, and maintaining accurate records.

·        Partner with internal departments such as Finance, Legal, Procurement, and Operations to facilitate project workflows.

·        Prepare presentations, reports, executive summaries, and other project-related documentation for leadership.

·        Track budgets, purchase requests, invoices, and capital expenditures while maintaining organized financial records.

·        Monitor vendor deliverables, procurement activities, and installation schedules throughout the project lifecycle.

·        Organize and maintain project files, contracts, correspondence, and other critical documentation.

·        Serve as a central point of communication between project stakeholders, consultants, and contractors.

·        Provide administrative support to project leadership and assist with special projects as needed.

 

Qualifications:

·        Bachelor's degree preferred or an equivalent combination of education and relevant experience.

·        Previous experience supporting construction, facilities, engineering, or capital improvement projects is preferred.

·        Strong proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.

·        Experience with project documentation or contract management software is a plus.

·        Excellent organizational skills with the ability to manage multiple priorities and deadlines.

·        Strong written and verbal communication skills.

·        High attention to detail and ability to maintain confidential information.

·        Self-motivated, resourceful, and comfortable working in a collaborative, fast-paced environment.
