Job description

ESSENTIAL FUNCTIONS:
  • Insure and maintain confidentiality of all proprietary information.
  • Follow verbal and written instructions to complete typing, copying, editing and formatting projects for project management. Complete miscellaneous copying projects as needed.
  • Copy and distribute all incoming faxes. Copy and distribute incoming mail relative to job files.
  • Order drawings from customers for Estimating department. Review bid documentation and perform due diligence. Prepare bid review memorandums and type estimating scope letters required for bidding process. E-mail all pertinent information to appropriate organizations on bidder's list.
  • Perform contractor research. Assist Estimators and Project Managers with special projects.
  • Develop plans, schedules and spreadsheets to track progress of projects. Run required reports. Maintain and update Master Schedule.
  • Type, copy and distribute progress reports and meeting minutes for project management group. E-mail progress reports to customers.
  • Process, distribute and follow up contract purchase orders. E-mail and follow up down-line change orders.
  • Act as back-up for telephone coverage and Executive Administrative Assistant/Receptionist, Marketing Manager, Purchasing Manager and Contract Administrator.
  • Update and maintain licenses/certifications. Coordinate and prepare company's prequalification documentation for General Contractors. Update and maintain A305.
  • Enter all required data into Strumis.
  • Issue steel purchase orders according to ABM of identified product acquisition needs.
  • Source, request quotes and prepare estimated steel costs for estimate pricing.
  • Perform annual inventory.
  • Effectively communicate changes in priorities or completion dates due to unscheduled projects of higher priority or urgency.
  • Establish, communicate and monitor personal and departmental performance and improvement goals in support of organizational objectives. Communicate results to Supervisor. Encourage and promote continuous personal development, skill attainment and optimal performance for self and others.
  • Support and comply with company policies, programs, procedures and/or guidelines during performance of all duties. Report observed instances of non-compliance to Supervisor.
  • Demonstrate safe work habits. Attend trainings and meetings as required.
  • Cross-train on other departmental duties in preparation for performing in a back-up capacity. Provide hands-on training as needed.
  • Cooperate with all co-workers and management personnel in all areas and departments. Promote the best interests of the company and contribute to a positive work environment at all times.
  • Purchase, properly use and maintain personal tools. Proper use and maintenance of all company tools, equipment, supplies and computer hardware and software.
  • Demonstrate cost effective use of human and material resources. Actively seek ideas and incorporate improvements to enhance productivity.
  • Remain flexible and willing to work beyond standard, scheduled hours in response to unforeseen requirements.
  • Perform all other duties as required.

KNOWLEDGE AND SKILLS:
  • Accurate knowledge, understanding and efficient use of applicable software packages. Working knowledge of basic office equipment.
  • Ability to understand and interpret complex directions, instructions and other forms of communication relative to assigned projects. Ability to retain instructions and apply to similar duties.
  • Ability to learn Project Management and Drawing Log programs.
  • Accurate knowledge and understanding of standard business correspondence.
  • Excellent organizational skills and ability to show initiative in identifying and completing tasks without close supervision.
