Project Coordinator

Location: Tulsa / project-site based
Job Type: Full-Time
Pay: $25.00–$35.00 per hour
Expected Hours: 40–60 per week

AIMRIGHT Testing and Engineering is seeking a Project Coordinator to join our Tulsa / project operations team. This full-time role involves owning project documentation, coordinating billing/report flow, and managing client/project admin requests for site leadership and operations leadership throughout active project sites and office-connected operations.

We are hiring for an entry-to-mid-level position. Administrative, project coordination, construction support, or operations support experience is required—construction materials testing experience is helpful but not required.

Why This Role Exists:

AIMRIGHT’s project teams move fast. On active jobs, field execution can break down when documentation is outdated, billing isn’t submitted, reports lag behind, or client requests come in from multiple directions. This role exists to bring order, responsiveness, and consistency to that environment.

The Project Coordinator helps keep the operation organized by maintaining current project documentation, making sure testing and billing activity is captured, supporting report flow, and helping manage client-facing administrative requests.

This isn’t just admin support. This is project execution infrastructure.

What You’ll Do:
  • Maintain project folders and documentation so current drawings, plan sheets, RFIs, and submittals are organized and up to date across internal systems and client portals.
  • Coordinate billing and reporting flow by helping ensure testing performed, e-tickets, reports, and billing inputs are captured and turned in on time.
  • Review reports for consistency and completeness before submission.
  • Manage incoming client and project requests and help track submissions, follow-ups, and duplicate asks.
  • Monitor project admin metrics such as labor multiplier anomalies and raise flags to site leads when something appears off.
  • Support site leadership by handling detail-heavy coordination work so field leaders can stay focused on execution.
What We’re Looking For:
  • High school diploma required; associate’s or bachelor’s degree preferred
  • Valid Driver’s License with an acceptable DMV record
  • Strong computer skills, including Excel and ability to learn new software quickly
  • Highly organized, detail-oriented, and able to manage multiple moving parts
  • Able to communicate clearly with internal teams and clients
  • Able to work in a fast-paced construction-support environment
  • Willingness to work occasional overtime as needed
Preferred Qualifications:
  • Experience in construction administration, project coordination, dispatch, operations support, or materials testing support
  • Familiarity with construction drawings, submittals, RFIs, and document control
  • Experience working in client portals / document management systems
  • Construction experience or exposure is a strong plus
