As our Project Assistant on our Environmental Resource Management team in Southern California, you will provide essential administrative and project coordination support to technical staff working on a variety of environmental planning and resource management projects. This role is ideal for a highly organized professional who enjoys supporting multidisciplinary teams, managing multiple priorities, and contributing to projects that positively impact our communities.

We are open to considering both full-time and part-time candidates, with the final schedule determined based on business needs and the selected candidate's experience and availability.

What You'll Do

As our Project Assistant, you will provide administrative and operational support that helps project teams stay organized, meet deadlines, and successfully deliver environmental projects.

  • Project Administration: Coordinate project start-up activities, contract execution, insurance certificate requests, and subconsultant agreements.
  • Scheduling & Logistics: Maintain staff schedules, field calendars, travel arrangements, and coordinate meetings, events, and team activities.
  • Field Operations Support: Coordinate field logistics, equipment inventory, site access, landowner permissions, and agency notifications.
  • Financial Coordination: Prepare draft monthly invoices, expense reports, credit card reconciliations, and progress reports in collaboration with senior staff.
  • Proposal Support: Assist with proposal preparation, document formatting, resume updates, and maintenance of the staff qualifications database.
  • Records & Compliance: Track employee certifications, licenses, required training, and maintain organized project documentation.

Required Qualifications

  • High school diploma required; some college coursework preferred.
  • 3+ years of administrative experience in a professional office environment.
  • Experience supporting project teams and coordinating multiple priorities.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Experience using scheduling and calendar management applications.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently while also contributing effectively within a collaborative team environment.

Preferred Qualifications

  • Experience supporting environmental, engineering, architecture, or consulting projects.
  • Experience with proposal coordination, project invoicing, or contract administration.
