Position Description

Reporting to designated management, the Executive & Operations Assistant will provide administrative, coordination, communication, and operational support to HQ leadership, Regional Managers, and other members of the management team.

The successful candidate will work closely with different departments and teams to help ensure priorities, projects, communications, and follow-up activities are organized and completed effectively.

This is a hands-on role for someone who is highly organized, adaptable, professional, and interested in developing a long-term career in business operations, administration, or management support.


Key Responsibilities

Executive & Administrative Support

  • Provide day-to-day administrative support to HQ leadership and designated management.
  • Assist with organizing calendars, meetings, and schedules.
  • Prepare meeting agendas, documents, presentations, reports, and other business materials.
  • Take meeting notes and track action items where required.
  • Follow up with relevant team members regarding outstanding tasks, deadlines, and deliverables.
  • Assist with organizing files, documents, and business records.
  • Draft and prepare internal communications and other materials as required.
  • Support management with special projects and business initiatives.
  • Handle confidential and sensitive business information with professionalism and discretion.

Regional Manager & Operations Support

  • Provide coordination and administrative support to Regional Managers and designated management.
  • Assist with tracking store updates, action plans, operational concerns, and follow-ups.
  • Help coordinate communication between HQ, Regional Managers, Store Managers, and other internal teams.
  • Follow up on outstanding action items and deadlines.
  • Assist with preparing weekly reports, meeting materials, and operational summaries.
  • Support the organization of Regional Manager meetings and other management meetings.
  • Assist with collecting information and feedback from stores when required.
  • Support store visits, projects, and operational initiatives where appropriate.
  • Help identify recurring operational issues and ensure they are communicated to the appropriate team members.
  • Work in store operations to develop a stronger understanding of the business, products, procedures, and store-level operational needs.

Project Coordination & Business Support

  • Assist with coordinating internal projects and tracking progress.
  • Maintain project trackers and follow up with stakeholders on deadlines and deliverables.
  • Support new initiatives, process improvements, and company projects.
  • Assist with researching, organizing, and preparing information for management.
  • Help improve communication and coordination across different departments.
  • Support the implementation of new processes, programs, and operational initiatives.
  • Perform other duties and special projects as assigned.

  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Strong written and verbal communication skills.
  • Comfortable preparing documents, reports, presentations, and spreadsheets.
  • Proficiency with Microsoft Office and/or Google Workspace is an asset.
  • Experience with Lark or other workplace collaboration platforms is an asset.
  • Ability to maintain professionalism and confidentiality when handling sensitive business information.
  • Mandarin and/or Cantonese language skills are considered an asset.
  • Must have a valid G Class driver's licence and reliable transportation.


Compensation & Career Growth

This position will begin at:

CAD $20.00–$25.00 per hour, based on experience and qualifications.

After approximately 6 months, employees who demonstrate strong performance, reliability, business knowledge, and readiness for increased responsibilities may be considered for a transition into a salaried position or another executive, operations, or management support role.
