Job description

Primary Function: Perform administrative duties for divisional and project management teams.

Responsibilities:

  1. Assists with preparing, coordinating, printing, distributing, tracking, filing and archiving project delivery and construction phase administration files and documents throughout the project life cycle.
  2. Manages, and takes ownership of duties, calendars, and overall organization in a strong support capacity.
  3. Consults with Project Managers to complete all required documentation to initiate project start up and closeout.
  4. Prepares, tracks, and electronically files contract documents.
  5. Documents project submittals.
  6. Updates and maintains technical lists and various information databases.
  7. Verifies subcontractor insurance coverages.
  8. Assists with creating and maintaining Job Cost reports.
  9. Edits/proofreads miscellaneous technical letters, correspondence, reports, and other materials.
  10. Assists with formal responses to requests for proposals and requests for qualifications.
  11. Promotes integrity, honesty, hard work, safety, and quality throughout all aspects of the project and is a professional representative of M. B. Kahn.
  12. Performs additional assignments as directed by management or as required for successful project completion.
  13. Work from the Beaufort office, with occasional travel to Bluffton, Hilton Head, and local jobsites as needed.


Required Skills/Abilities:

  • 4+ years of administrative experience (construction industry preferred)
  • Proficiency in Microsoft Office, especially Excel and Word
  • Experience with Bluebeam, Adobe, or similar software
  • Procore experience is a plus
  • Ability to learn and work within accounting software systems
  • Bookkeeping or accounting background is a plus
  • Familiarity with AIA documents and certificates of insurance is a plus
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent attention to detail and communication skills
  • Ability to work independently and maintain confidentiality
  • Associate's degree or higher preferred
