Overview

We are seeking a Junior Property Administrator to provide administration support at our clients site located in Calgary, Alberta at the Calgary Courts Centre. This role is intended to cross train in several administrative functions and to develop into the role of Property Administrator over the course of 12-15 months. Looking for someone that can use initiative and good judgement, while working in a collaborative, timely and efficient manner.

Location - Calgary, AB.

Your role

Support Property Administrator in the following functions:

  • Provide exceptional customer service by responding to inquiries, coordinating service requests, and fostering positive relationships with tenants, contractors, visitors, and clients to enhance overall satisfaction.
  • Manage procurement activities by administering vendor agreements, compliance requirements, purchase orders, and invoice reconciliation, ensuring accurate and efficient service delivery.
  • Coordinate maintenance operations by creating and tracking work orders, scheduling vendors, and supporting property projects to ensure timely completion of repairs and operational excellence.
  • Administer accounts payable and receivable processes by monitoring purchase orders, quotations, invoices, and payments to maintain financial accuracy and accountability.
  • Support financial reporting activities by collaborating with Finance on accruals and reclassifications and preparing monthly management reports that provide meaningful insights to stakeholders.
  • Contribute to budget planning and management by monitoring expenditures, tracking variances, and reporting deviations to support informed decision-making and financial performance.
  • Ensure compliance with governance standards by validating vendor reporting and participating in internal and external audits to mitigate risk and maintain operational integrity.

About you

  • A post-secondary degree or diploma or certification in business administration. Designation in accounting, accounts payable, or accounts receivable is preferred. Experience working with ARIBA, JD Edwards EnterpriseOne or similar applications would be an asset
  • Minimum 2 years of experience in administration, property management, facilities management, or building operations.
  • Ability to obtain and maintain a valid Police Clearance Certificate on an ongoing basis is required. Must demonstrate discretion, professionalism, and tact when dealing with sensitive information and situations.
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) is required
  • Strong organizational, analytical, and the ability to work as a team and independently, set priorities, meet deadlines, and multi-task
