Project Administrator - Construction Division
The Project Administrator is a key member of the construction team, providing administrative and operational support throughout the lifecycle of new store development. This role is responsible for maintaining project documentation, coordinating communication with internal teams and vendors, tracking procurement activities, and assisting with scheduling and field follow-up.
This position helps ensure new SpinXpress Laundry locations are completed on time, properly documented, and in accordance with company standards and project timelines.
We are looking for a detail-oriented, highly organized professional who thrives in a fast-paced construction environment and can effectively manage multiple priorities while helping projects progress from planning through completion.
Key Responsibilities
  • Maintain accurate project documentation, records, and construction files
  • Coordinate communication between internal departments, contractors, suppliers, and vendors
  • Track procurement timelines, material deliveries, and purchasing activities
  • Support project scheduling and assist with field coordination and follow-up
  • Monitor project milestones and help ensure deadlines, budgets, and company standards are achieved
  • Keep construction projects organized, on schedule, and progressing efficiently

Responsibilities
What You'll Do
• Coordinate construction project workflows and maintain organized project records
• Support scheduling, procurement tracking, and delivery coordination
• Manage submittals, RFIs, and communication through Procore, Click Up, and Company Cam
• Ensure project documents are compliant, complete, and audit-ready
• Communicate directly with contractors, vendors, and internal teams
• Coordinate with municipalities to submit plans and tracking inspections
• Track project timelines and budget progress; escalate issues early
• Assist with closeout documentation and liaison with Landlord representation
Qualifications

• Experience in construction project coordination or project admin role
• Familiarity with Procore, ClickUp, CompanyCam, or similar platforms
• Strong organizational and follow-through skills
• Ability to manage multiple priorities and deadlines
• Knowledge of commercial construction phases and documentation standards
