JOB LOCATION

ONSITE: Department of Anesthesiology - 5th floor HAFS, 40 Medicine Circle

JOB SUMMARY

The Program Coordinator provides comprehensive operational, administrative, and project coordination support for the Department of Anesthesiology. This position plays a key role in department-wide space planning and optimization, employee engagement initiatives, faculty processes, credentialing coordination, and executive-level administrative support. The role serves as a primary liaison between the department and institutional partners including Facilities and Engineering & Operations (E&O), ensuring effective communication and execution of strategic initiatives.

JOB DUTIES AND RESPONSIBILITIES

Space Planning & Facilities Coordination

  • Coordinate and maintain departmental space planning initiatives aligned with institutional space reduction and renovation strategies.
  • Conduct extensive space analysis to support optimization, redesign, and operational improvements.
  • Oversee and monitor department space usage across multiple locations, including HAFS, Baker House, SANDS, GSRBII, MSRBIII, and all trainee sites.
  • Serve as the department liaison to Facilities and Engineering & Operations (E&O) for space planning, renovations, access, and fixture-related activities.
  • Collaborate with facilities teams to ensure efficient allocation and utilization of departmental space.

Employee Engagement & Department Culture

  • Lead and coordinate employee engagement initiatives, including Culture Pulse activities and quarterly "Post-It" feedback campaigns.
  • Develop and distribute faculty meeting surveys and assess engagement outcomes.
  • Support patient and provider engagement initiatives and community-building efforts.
  • Coordinate recognition programs and contribute to coaching and professional development initiatives.
  • Prepare and distribute departmental newsletters and manage intranet feedback.
  • Support faculty meetings and other department-wide engagement activities.

Faculty Affairs & Special Projects

  • Plan and coordinate special projects as assigned by departmental leadership.
  • Manage the annual faculty review process and assist with faculty development plan coordination.
  • Monitor staff work effort and location reporting requirements.
  • Assist with APT data collection and coordination of faculty packet presentations.
  • Prepare PowerPoint presentations and materials for CAO meetings, Chair meetings, lectures, and reports related to finance, operations, and other departmental initiatives.

Credentialing & Faculty Lifecycle Support

  • Assist with the credentialing process for faculty, Advanced Practice Providers (APPs), and CRNA hires, providing high-level guidance and issue resolution.
  • Coordinate onboarding and offboarding processes for all departmental faculty, including developing itineraries and facilitating orientation.
  • Serve as a resource for faculty and leadership regarding credentialing and compliance requirements.

Executive Administrative Support

  • Provide comprehensive administrative support to the Chief Administrative Officer (CAO), including:
    • Calendar management
    • Meeting coordination
    • Email management
    • Preparation of presentations and reports
  • Track assigned action items and ensure timely completion of deliverables.

JOB ELIGIBILITY REQUIREMENTS

  • Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
  • Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
