The role focuses on administrative support, coordination, logistics, communication, and reporting, enabling Project Managers to execute projects efficiently within automotive and industrial environments. Fluency in Spanish is required, as the role involves daily communication with Spanish-speaking field personnel.
Note: This role supports the project site by coordinating equipment, tools, and installation resources to ensure teams have what they need to perform their work efficiently. The position involves planning, tracking equipment usage and availability, maintaining accurate inventory records, and providing operational support both through administrative coordination and hands-on support on the production floor. This role does not involve shipping/receiving, supply chain logistics, IT, software development, Agile/Scrum, or technical engineering design.
Vacancy: 2 openings (1 in Austin, TX and 1 based on project location)
Key responsibilities:
  • Planning and coordinate the tools assignment and installation equipment to each project.
  • Collaborate with Projects Managers to identify the tools, machinery and installation equipment to each project.
  • Coordinate and track machinery movement. Manage all inbound and outbound activities for machinery such as forklifts, boom lifts, scissor lifts, telehandlers, etc., ensuring smooth and timely operations.
  • Supervise external service personnel access. Coordinate the entry of external drivers and technicians responsible for machinery repairs, ensuring compliance with site protocols.
  • Tooling carts management. Organize, deliver, and receive tooling carts, conduct audits of their contents, and monitor tool usage to maintain operational efficiency.
  • Inventory management of machinery and tools. Maintain accurate inventory records by conducting physical counts, reconciling discrepancies, and supporting the tooling warehouse as needed.
  • Monitor machinery usage and status. Track the location and operational status of all machinery, ensuring they are in good working order and ready for use.
  • Supervise fuel levels and electric generation equipment. Oversee the status of electric generation systems and machinery fuel levels to avoid downtime and ensure operational continuity.
  • Order and track equipment and materials needed for installations. Manage the procurement of materials, resources and consumables needed for carrying out the installation task. Coordinating procurements and shipments to various factories to guarantee timely delivery and compliance with customer requirements.
  • Report to the Installation Manager the inventory status and follow up the assignment to the installers the carts, equipment and machinery.
  • Serve as liaison between Project Managers or Site Managers and external providers. Facilitate communication and coordination to support Installation Team in the development of mechanical or electrical assembly operations.
  • Support Installation Planner to develop installation timelines, resources manpower and other management task inside Installation Department.

Note: This role does not involve IT, software development, Agile/Scrum, or technical engineering design.
Qualifications & Skills
  • Degree in Engineering, related field or equivalent.
  • Bilingual English/Spanish is required.
  • 3-4 years of experience in site logistics, administrative support, project coordination, or a related operational or engineering support role preferred.
  • Must be able to lift at least 35lbs with or without accommodations.
  • Strong organizational and analytical skills with attention to detail.
  • Effective communication and customer-oriented mindset.
  • Proficiency in MS Office.
  • Team-oriented, flexible, and results-driven approach.
  • Must be available to travel, if needed.
  • Valid authorization to work in the United States.
