Job description

The Capital Projects Coordinator role is a key member of the project team, providing coordination and administrative support for Corporate Capital projects of varying size and complexity. This role focuses on supporting Engineering, Procurement, Accounting, and Finance through project tracking, financial documentation, workflow coordination, and data management under the direction of the Vice President of Engineering and Maintenance.

Essential Job Duties

  • Coordinate with Engineering teams on capital project status, budgets, purchase orders, and project closeout activities.
  • Support processing and coordination of payment documentation with Accounts Payable.
  • Track project expenditures, procurement activities, and cost performance; flag potential risks, variances, or budget concerns.
  • Maintain organized and up-to-date financial and project documentation.
  • Assist with multi-year capital planning efforts by compiling and organizing relevant data.
  • Provide regular updates and escalate issues to management as needed.
  • Support validation of return on investment (ROI) for capital projects related to savings and productivity.
  • Maintain and track labor and overhead cost center data.
  • Prepare and submit journal entries as required.
  • Coordinate and maintain quarterly asset inventory audits to ensure accuracy.
  • Initiate and track Capital Request workflows, ensuring proper routing and approvals.
  • Assign project numbers and distribute Business Intelligence (BI) codes.
  • Schedule and support monthly financial/project review meetings with project managers.
  • Assist in reviewing project closeout documentation to ensure proper asset tracking and depreciation setup.
  • Provide general administrative and operational support to Engineering and Finance teams as needed.

  • Provides administrative and financial support to Engineering and Finance teams. Works under general supervision with responsibility for maintaining accurate records, tracking project data, and supporting decision-making processes.

Knowledge and Skill Requirements

  • Ability to produce mass balances for Manufacturing and Packaging systems
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Experience with Business Intelligence systems (e.g., Oracle) preferred.
  • Strong organizational and documentation skills with attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Effective written and verbal communication skills.
  • Ability to collaborate with cross-functional teams, including Engineering, Finance, and Project Management.
  • Basic understanding of financial processes and project tracking.

Education and Experience

  • Bachelor's Degree in Finance, Business Administration, or related field preferred.
  • 5-7 years of experience in administrative, project coordination, or financial support roles preferred.

Travel Required

  • Travel to other sites/campuses to share best practices. Travel of approximately 10%.
