Responsibilities:
  • Coordinating internal communication between design, sales, and operations.
  • Maintaining design project tracking information and helping ensure project milestones are current.
  • Assisting with design documentation, permit packages, submittal packages, revised drawings, and approval tracking.
  • Following up on missing information required to complete design work.
  • Supporting the Fire Alarm & Suppression Design Manager with workload tracking, reporting, meeting preparation, and process follow-up.
  • Ensuring design files, records, and supporting documentation are properly stored and maintained.
  • Helping improve consistency, accountability, and visibility across the fire alarm and suppression design process.

Qualifications:
  • Strong organizational skills with the ability to manage multiple priorities and active projects.
  • Excellent written and verbal communication skills.
  • Ability to follow established processes and maintain accurate records.
  • Strong attention to detail, especially when handling project documents, submittals, and status tracking.
  • Ability to work effectively with designers, sales team members, project managers, technicians, and customers.
  • Comfortable using project management software, Microsoft Office, SharePoint, Teams, Outlook, and file storage systems. Experience with Procore is a plus.
  • Ability to follow up consistently and professionally on open items.
  • Basic understanding of construction, permitting, fire alarm, fire suppression, or design processes preferred.
