JOB SUMMARY AND PURPOSE

The Program Supervisor I provides experience-based competencies and administrative assistance to further efforts of the program staff to fulfill the contracted goals and objectives. Program leaders are responsible to meet all program contractual daily Key Performance Indicators including daily program numbers, data quality input, note taking, exits indicators and services provided.

DUTIES AND RESPONSIBILITIES

  • Achieve grant objectives by supervising the program staff, providing expertise, and monitoring service delivery, while providing information to the Director, highlighting progress in reaching goals;
  • Coordinate day-to-day operations of program service providers, overseeing intake, creation of service plans and delivery of services to clients;
  • Conducts weekly case conferencing and monthly case files audits to assure participant records are complete and accurate;
  • Monitor program compliance to VOALA policies and required procedures; maintains documentation of all program procedures;
  • Assist Director with implementing policies, procedures and forms that facilitate the effective operation of intensive case management and delivery of high-quality services train and mentor staff;
  • Coordinate outreach and collaboration efforts with community partners and stakeholders
  • Other duties as assigned

ESSENTIAL ABILITY ACKNOWLEDGEMENT

Ability to work and deal with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs, which may include clients with homelessness, mental illness, substance abuse, recently released from incarceration, and other challenges.

ESSENTIAL FUNCTIONS:

  • Services for this position must be provided on-site. As a result, the positions supervised by this job description are on-site, and supervisors / managers / leaders must be on site to provide proper direction and oversight.
  • PROGRAM OPERATIONS: Responsible for day-to-day Program efforts, providing guidance and supervision for staff, budget oversight, project timelines, and anticipated outcomes; Effectively plans workload of subordinate individuals and programs; budgets, deploys, and organizes resources.
  • RECORD AND TRACK SERVICES: Keep and maintain appropriate records of all services provided to clients, in both hard (paper) and soft (electronic) files, ensuring records are accurate and matching; report regularly to Director progress of project timelines.
  • COORDINATION OF SERVICES: Collaborates with other service providers to link various programs to community resources and supportive services.
  • FUNDER FOCUS: Keep comprehensive records of compliance with Funder and Regulatory requirements.
  • TRAINING AND MENTORING: Responsible for teams development through: training, policy and procedure, structured supervision, and learning collaboratives
  • CHANGE LEADERSHIP: Identifies better, faster, more efficient ways to achieve the program goals and objectives.

MANDATED REPORTER

As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
  • Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges.

EDUCATION:

  • Associates degree or a combination of relevant education and experience (2 years).

EXPERIENCE:

  • 6 Months of supervisory experience in a social services organization (leading programs, projects, or staff)

PREFERRED QUALIFICATIONS:

  • Master of Social Work or discipline related to Program services
  • Experience connecting clients to community and government resources;
  • Experience serving the target community (veterans, homeless, at-risk youth, et cetera)
  • Knowledge about community resources
  • Experience with HMIS and other relevant databases used by partner service providers
  • Ability to work with people from various backgrounds and/or limited English capabilities
