Primary Purpose of Organizational Unit
The Communications and Marketing department at Elizabeth City State University manages the university's brand, image, and identity by using strategic communications to raise awareness and support among its diverse audiences. The department strengthens relationships by engaging with the media and promoting the university's programs, services, and activities. Through an integrated approach to communications and relationship building, the department also gathers and provides feedback from internal and external audiences to inform the university's strategies.
Description of Work
Project Coordinator (65%)
  • Learn and manage Monday.com to oversee project coordination for the office.
  • Review and update the project request form, evaluate incoming requests, and bring them to weekly CAM meetings.
  • Follow up with partners to gather necessary information and serve as liaison on project implementation.
  • Work with partners to identify upcoming events and ensure the department has the information needed to promote and cover them.
  • Update the project management system to reflect office work, improving utilization and service to the team.
  • Assist with scheduling partner meetings, photo shoots, and video shoots, including coordinating subjects and reserving locations.
  • Manage the CAM email inbox and communicate effectively with partners.

Office Manager (25%)
  • Oversee basic office functions, including implementation of contracts and purchasing, working with Legal and Business & Finance, entering requisitions, and managing processes.
  • Upon approval by the Chief Communications and Marketing Officer (CCMO), secure quotes and collaborate with IT and Facilities to provide the tools and resources needed by the team.
  • Request quotes from vendors for project completion.

Administrative Support (10%)
  • Provide administrative support to the CCMO, including scheduling meetings, reserving spaces, and following up on requests.

Excellent oral and written communication skills, paired with a strong customer service orientation, are essential. Attention to detail and the ability to manage multiple tasks simultaneously are highly desirable.
