Operations Support Associate, Program Experiences
Scotts Valley, CA | Full-Time | Non-Exempt
At 1440 Multiversity, every program is the result of thoughtful planning, seamless coordination, and hundreds of details coming together at exactly the right moment. As an Operations Support Associate (OSA), you'll be at the center of making that happen.
Working alongside our Program Experiences team, you'll coordinate the operational details that bring programs to life-from managing event documentation and rooming lists to partnering with Culinary, Guest Experience, Housekeeping, Reservations, Production, and Learning + Education to ensure every guest experience feels effortless.

What You'll Do
You'll help coordinate every stage of a program's operational journey, including:
  • Partner with Program Experiences Managers to plan and coordinate group programs from contract turnover through program completion.
  • Prepare and maintain banquet event orders (BEOs), program briefs, rooming lists, floor plans, and other operational documentation.
  • Ensure program details are accurate across multiple operating systems, including Delphi, Opera, PMS, and CRM platforms.
  • Coordinate with Reservations, Culinary, Guest Experience, Housekeeping, Production, and Learning + Education to ensure every department has the information needed to execute successfully.
  • Track program updates, communicate changes, and help ensure every operational detail is aligned before guests arrive.
  • Welcome clients, faculty, and presenters to campus while serving as an operational resource throughout their stay.
  • Assist with scheduling learning activities, vendor coordination, live entertainment, and other program logistics.
  • Maintain organized records, reports, and communication that support efficient program delivery.
  • Support front desk, campus operations, and special events as business needs require.
  • Help identify opportunities to improve processes and create even better experiences for our guests and internal partners.

  • Bilingual English/Spanish is a plus.
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Must be available to work a flexible schedule, including evenings, weekends, and holidays as business needs require.
