Job Description
The School of Animal Sciences (SAS) seeks an administrative assistant to provide support to the office of undergraduate education. The essential duties to the operation of the unit include recordkeeping and communication with faculty, staff, and students.
Responsibilities include: providing administrative support for the Undergraduate Program Director(s) and other employees, maintaining confidential information, serving as first and main point of contact for the SAS undergraduate education office (greeting visitors, answering questions, directing to other offices as needed, etc.), organizing and managing databases related to the undergraduate programs, billing students for SAS undergraduate programs such as equitation courses and study abroad programs, and creating reports related to the undergraduate programs. The successful candidate will lead mass communication (undergraduate webpages, Canvas sites associated with the undergraduate program, undergraduate student listserv(s), newsletters, flyers, etc.) with current and prospective students, and provide quality service to undergraduate students and faculty to support recruiting, retention, on-time graduation, and job placement for SAS undergraduate majors. Process and maintain/update student forms and other paperwork; assist in evaluation of student assignments associated with the undergraduate program, such as Hokie GPS planners, etc.; participate in School events/recruitment activities as assigned (may require working outside normal business hours). Carry out administrative duties such as filing, shredding, copying, binding, scanning, answering questions, ordering office supplies, etc.
Required Qualifications
Demonstrated expertise in Microsoft Office software, the Google suite of tools (Docs, Sheets, Forms, groups, etc.), and the Teams platform; Demonstrated expertise in accomplishing tasks in a busy office environment; Demonstrated strong organization, problem-solving, and time management skills; Demonstrated ability to work independently, and to interact and communicate comfortably with individuals of diverse social, ethnic, and educational backgrounds; Associate's degree (or higher) in any field, and/or equivalent years of training and administrative experience.
Preferred Qualifications
Previous administrative support experience; B.S. or B.A. in any field; Knowledge of university software systems (e.g. Banner, Canvas or similar learning management platforms); Experience in a college-level advising/student support office; Experience or training in the animal sciences
