Position Summary
McDonell Area Catholic Schools is seeking an organized, service-oriented, and flexible professional to join our Early Elementary team as Office Support – Early Elementary Location.
This position plays a vital role in the daily operations of our school by providing administrative support to the principal, assisting families, supporting teachers and staff, and coordinating the logistics of our Afterschool and Non-School Day Programs. The ideal candidate enjoys working with children, thrives in a fast-paced environment, and is committed to providing exceptional customer service while supporting the mission of Catholic education.
Qualifications

Associate's degree or equivalent administrative experience preferred.

Previous experience in an administrative assistant, school office, or customer service role preferred.

Strong organizational and time management skills.

Excellent verbal, written, and interpersonal communication skills.

Ability to manage multiple priorities while maintaining attention to detail.

Proficiency with Microsoft Office and Google Workspace.

Ability to learn school software systems including Procare and student information systems.

Ability to maintain confidentiality and exercise sound judgment.

Essential ResponsibilitiesSchool Office Support

Serve as a welcoming first point of contact for students, families, staff, and visitors.

Answer and direct telephone calls and respond to general inquiries.

Monitor visitors entering the school and follow school safety and visitor procedures.

Assist the Principal and School Administrative Assistant with daily office operations.

Prepare correspondence, forms, reports, and communications as requested.

Maintain organized office records, files, and documentation.
-
Order, inventory, and maintain office supplies and equipment.

Assist with student attendance, early dismissals, and student sign-in/sign-out procedures.

Receive and distribute mail, packages, and deliveries.
-
Provide basic first aid to students alongside the Principal and School Administrative Assistant.

Assist with classroom coverage and supervision when operational needs require.

Support school events, conferences, registration, and other special activities.

Assist with substitute teacher coordination and classroom coverage.

Maintain confidentiality of student, family, and employee information.
Afterschool amp; Non-School Day Program
-
Coordinate the daily operations of the Afterschool and Non-School Day Programs with the support of the Principal.

Schedule and communicate with Afterschool staff.

Assist with recruiting, onboarding, scheduling, and maintaining staffing coverage.

Manage student enrollment and attendance within Procare.
-
Maintain accurate student schedules.
-
Process billing through Procare.
-
Receive, record, and reconcile program payments.
-
Issue invoices, receipts, and account statements as needed.
-
Communicate with families regarding schedules, billing, registrations, and program information.

Assist with licensing documentation, attendance records, and program compliance requirements.
Student amp; Family Support

Assist with the 4K Bus Hub and transportation communication.

Answer parent questions and direct families to appropriate staff.

Support new family enrollment processes related to aftercare.

Maintain positive relationships with students, families, faculty, and parish community members.
Additional Responsibilities

Assist with payroll timecard collection and submission.

Maintain calendars, schedules, and meeting logistics for the Principal as assigned.

Create and update spreadsheets, forms, and reports.

Help coordinate substitute coverage for support staff when needed.

Support emergency drills and school safety procedures.

Perform other duties as assigned by the Principal or School Administrative Assistant.
