Job description

JOB.TITLE, OU.LOCATION, CUSTOM.STATE

We're helping build the homes, businesses, schools, and communities that people rely on every day.  As an Administrative Assistant in OU.LOCATION, CUSTOM.STATE, you'll play a key role in supporting mill operations through a variety of administrative, organizational, and customer service responsibilities. This position is ideal for someone who thrives in a fast-paced environment and takes pride in accuracy, organization, and teamwork.

The pay rate for this position is 22.84 per hour.

What You'll Do

  • Answer and direct phone calls, manage email correspondence, and distribute information to appropriate personnel.
  • Collate, sort, and distribute incoming mail.
  • Greet visitors and direct them to the appropriate staff member.
  • Schedule appointments, meetings, and travel arrangements for mill employees.
  • Set up meeting rooms, prepare agendas, take minutes, and follow up on action items.
  • Prepare and distribute letters, memos, reports, presentations, and other administrative documents.
  • Order office supplies, manage inventory levels, and coordinate maintenance of office equipment.
  • Maintain general housekeeping and organization of the Main Office.
  • Provide ad hoc administrative support to Human Resources and Management, including periodic responsibilities that involve going into the mill.
  • Enter and maintain information in databases and spreadsheets.
  • Coordinate community engagement programs and employee relations activities.
  • Keep inventory records organized, assist with monthly physical inventory, and ensure documents are accurate and easy to retrieve.
  • Adhere to all safety regulations and company policies.
  • Perform other duties as assigned.

What You'll Bring

  • High school diploma or GED required; post-secondary education in Business Administration, Accounting, Office Administration, or a related field is preferred.
  • Three or more years of administrative, office coordination, accounting, or manufacturing support experience preferred.
  • Strong organizational, time management, and multitasking skills with the ability to manage competing priorities.
  • Excellent communication and customer service skills, with the ability to build positive relationships across all levels of the organization.
  • High attention to detail and a commitment to maintaining accurate records, reports, and documentation.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong computer skills, including proficiency with Microsoft Excel, Outlook, Word, and PowerPoint.
  • Experience with purchasing, receiving, inventory management, accounting functions, or CMMS systems is an asset.
  • Self-motivated team player who can work independently while supporting multiple departments and business priorities.
  • Demonstrated commitment to safety and continuous improvement.
  • Flexibility to support inventory activities, employee events, special projects, and occasional schedule adjustments as business needs require.

  • Ability to work in both an office setting and an industrial manufacturing environment.
  • Ability to sit, stand, walk, bend, reach, and climb stairs throughout the workday.
