Job description

1. Must work in a confidential manner to ensure confidentiality of project files.

Performs administrative and field support duties and may assist in composing routine correspondence and coordinating activities.
3. Assists in filing, copying, scanning and faxing documents.

May answer telephone calls, take messages and transfer calls.
5. Checks quality of own work.

May assist in coordinating meeting arrangements and catering services for department functions.
7. May order project or department supplies and maintain supply cabinet.

May distribute department bulletins.
9. Assists in distribution of incoming and outgoing documents throughout the office, including the field.

Keeps abreast of project departmental systems, services relevant to area of responsibility, process improvements, procedures, and practices.
11. Must be punctual and maintain a dependable level of attendance in accordance to project work rules.

Adheres to all safety procedures.
Responsibilities:
Manage equipment data, records, and equipment transfers within the database to support accurate tracking and reporting.
Maintain and enhance equipment inventory database functionality by supporting open program development items, system updates, and testing activities.
Support on-site and off-site projects by scheduling and forecasting equipment repairs, servicing, and maintenance requirements.
Maintain parts and equipment inventory to support project operations, equipment availability, and material control requirements.
Generate reports including, but not limited to, equipment assets, parts, supplies, and inventory status.
Complete requisitions for parts and equipment as needed to support repair, servicing, and project requirements.
Manage recommended equipment spare parts lists to support preventive maintenance, repair planning, and inventory readiness.
Qualifications and Skills: Basic Qualifications:
Experience supporting automated systems with intermediate proficiency in Microsoft Office applications, particularly databases, reporting, and scheduling applications.
Advanced database administration experience, including maintaining equipment records, supporting data accuracy, and generating database-driven reports.
Basic knowledge of asset management, including equipment inventory, transfers, utilization tracking, and spare parts coordination.
Intermediate knowledge of material control and quality control processes related to equipment, parts, supplies, and inventory management.
Equipment planning, and Three Week Look Ahead Schedule coordination.
Experience coordinating activities within the assigned area of responsibility and interfacing with all other operating sections of the jobsite.
Preferred Qualifications:
Planning and schedule experience preferred
General construction equipment knowledge preferred.
Strong computer knowledge preferred, including proficiency with Microsoft Office applications, equipment management databases, reporting tools, and electronic filing systems.
High school diploma or equivalent required; additional technical, administrative, or equipment management training preferred.
