Position Summary: The Program Support Analyst supports strategic programs by coordinating workflows, enabling content development, and delivering timely, high-quality project outputs. This role facilitates cross-functional collaboration across internal teams and external stakeholders, maintains program communications and documentation, and produces data-driven reporting that supports the delivery process. The Program Support Analyst aligns program execution with organizational goals through structured coordination, analytical support, and continuous process improvement, without direct responsibility for project delivery or performance ownership.

Key Responsibilities:

 

PROGRAM/PROJECT COORDINATION

  • Coordinate activities among clients, subject matter experts, and internal technical teams to support smooth and timely project execution.
  • Supports communication, status updates, progress summaries and documentation for program updates, requirements, program activities and stakeholder inquiries.
  • Assist in developing project proposals, scopes of work, timelines, and supporting documentation.
  • Coordinate and track project deliverables, ensuring alignment with expectations and timelines.
  • Produce reports and dashboards that highlight KPIs, milestones, resource usage, risks, and strategic insights.
  • Facilitate meetings and present findings, recommendations, and project updates to support decisionmaking.
  • Assist with resource scheduling and coordination of internal project tasks.
  • Develop clientfacing deliverables using creative media tools such as AIpowered design platforms, Adobe Creative Suite, and Power BI.

PROCESS OPTIMIZATION

  •  Support the creation and maintenance of programspecific fee structures, workflow templates, and operational documentation.
  • Help identify areas for workflow improvement and contribute recommendations to enhance efficiency and quality.
  • Support the implementation of process improvements, automation opportunities, and standardized procedures.
  • Contribute to onboarding materials and process documentation related to program operations.
  • Assist with client communication workflows and service coordination for assigned program areas.

QUALITY ASSURANCE

  • Maintains quality expectations for project and program deliverables, communication materials, and collaboration media.
  • Contribute to quality control activities throughout the program lifecycle, ensuring compliance with standards and client requirements.

CLIENT EXPERIENCE/BUSINESS DEVELOPMENT

  • Serve as a secondary point of contact for assigned programs, strengthening client relationships through timely communication and proactive support.
  • Partner with leadership to understand client needs and help guide them toward effective solutions.
  • Support Project Managers and business development teams with opportunity tracking, proposal coordination, and pursuit documentation.
  • Develop visually compelling analytics, dashboards, and reports to support internal and client-facing reporting strategies.
  • Provide marketingaligned data and insights for targeted campaigns, messaging, and collateral.
  • Assist with internal and external events, including client workshops, information-sharing sessions, and vendor meetings.

Qualifications:

  • Associate or bachelor’s degree preferred, equivalent experience may be considered in lieu of degree.
  • 4 years of relevant experience, including 2+ years in a project or program support role required.
  • Working knowledge of project execution processes, including scheduling and coordination.
  • Strong organizational skills with the ability to manage multiple priorities in fastpaced environments.
  • Excellent communication and interpersonal skills, with comfort collaborating across geographic and technical boundaries.
  • Experience managing project schedules and workflows using tools such as Miro, ClickUp, Microsoft Project, or similar platforms.
  • Experience with publishing and content design tools (Adobe InDesign, Bluebeam Revu) preferred.
  • Demonstrated proficiency with AI-assisted content creation, visual media, and presentation/report development.
  • Must demonstrate proficiency in all core competencies as described in this job description. Prolonged periods of sitting or standing at a desk and working on a computer.
  • Ability to read, write and communicate in English.
  • Travel up to 5% of the time is required.
