A modern, patient-focused private dental practice in Elgin is seeking a dedicated Office Manager to join their team. Led by a compassionate and experienced dentist who is committed to providing high-quality, advanced care, the practice is built on a foundation of trust, integrity, and strong community relationships.

The Office Manager will play a key leadership role in ensuring the smooth and efficient daily operations of the practice. This position is responsible for supporting both the clinical and administrative teams, maintaining strong patient relationships, and helping uphold the high standard of care the practice is known for. The ideal candidate is organized, proactive, and confident in managing multiple responsibilities while fostering a positive and collaborative office environment.

Compensation: $60,000โ€“$70,000/year base salary, with bonus potential bringing total compensation closer to $100,000 annually.

Responsibilities and Requirements of the Office Manager:

Required Qualifications

  • Minimum of 7โ€“10 years of dental office management experience preferred.

  • Strong knowledge of dental insurance, treatment planning, scheduling, collections, and patient financial arrangements.

  • Experience with dental practice management software, preferably Eaglesoft.

  • Proficiency with Microsoft Office, Google Workspace, and dental software systems.

  • Strong leadership, communication, organizational, and problem-solving skills.

  • Ability to multitask, prioritize responsibilities, and remain composed in a fast-paced environment.

  • Positive, dependable, and team-oriented with a commitment to delivering exceptional patient care and customer service.

Key Responsibilities

  • Oversee the daily operations of the practice to ensure an efficient, productive, and patient-focused environment.

  • Lead, coach, and support team members while fostering a positive office culture and maintaining accountability.

  • Manage patient scheduling, recall systems, and overall schedule optimization to maximize productivity.

  • Review treatment plans with patients and discuss financial arrangements and payment options.

  • Monitor accounts receivable, collections, insurance claims, and outstanding balances.

  • Verify insurance benefits and oversee claim submission and follow-up processes.

  • Coordinate staff schedules, onboarding, training, and performance management.

  • Track and analyze key performance indicators, including production, collections, case acceptance, hygiene reappointment rates, and accounts receivable.

  • Address patient concerns and resolve issues professionally and efficiently.

  • Maintain accurate patient records and ensure compliance with office policies and procedures.

  • Collaborate closely with the doctor to support practice growth and achieve operational goals.

  • Assist with patient retention initiatives, referral programs, and practice growth strategies.

  • Help ensure compliance with OSHA, HIPAA, and all applicable state dental regulations.

Preferred Qualifications

  • Proven success improving collections, scheduling efficiency, patient retention, and overall office performance.

  • Experience presenting larger treatment plans and financial arrangements to patients.

  • Familiarity with Eaglesoft reporting and analytics tools.

  • Bilingual (English/Spanish) is a plus.
