Manage an assigned portfolio of co-operative housing and commercial properties to ensure compliance, performance, and tenant satisfaction.
Coordinate tenant move-ins, move-outs, lease administration, and maintain tenant files, including rent collection and handling tenant relations issues.
Oversee the management of commercial properties, including inspections, maintenance coordination, tenant relations, and facility operations.
Hiring Range: $28 to $30 hourly, paid on a bi-weekly basis.
The Co-Op & Commercial Property Manager is responsible for the effective, efficient management of an assigned portfolio of co-operative housing properties and commercial properties, ensuring optimal performance and compliance with all applicable rules, regulations, and organizational policies.
Co-Ops
Facilitate the filling of assigned cooperative vacancies ensuring compliance with all income and occupancy restrictions, in collaboration with Applications and Compliance team, including unit showings, and sharing completed applications with Membership Committee for review and final approval by Compliance or Co-Op Board as applicable.
Tenant lease-up including all applicable paperwork and clear communication regarding lease and house rules, policies, procedures, and rule policy changes.
Maintenance of tenant files for all assigned properties, handles rent collections, late notices and eviction notices.
Tenant move-outs including receiving and processing of written notifications from tenants, processing calculations for share settlement as applicable for co-operative members and obtaining final approvals for Co-Op Boards as needed.
Tenant relations issues within assigned portfolio, making referrals to Associate Director of Resident Services or appropriate social service agencies as applicable.
For-cause evictions and non-renewals; works with attorney if necessary.
Perform exterior inspections of sites in portfolio, bringing issues of concern to Maintenance or Asset Management departments as appropriate.
Coordinate move-out inspections with Maintenance Team and/or member from Co-Op.
Perform and/or facilitate apartment inspections as needed.
Collect and compile data and prepares a variety of reports as needed.
Develop property budgets in collaboration with the Director of Property Management and/or Co-Op Boards as applicable.
Maintain waitlist for Co-Op properties.
Attend Co-Op Board meetings.
Works with Co-Op committees and boards on LIHTC, HUD, etc. programs, financial reports, trainings.
Coordinates maintenance and/or capital needs projects between co-ops and maintenance and/or Asset Management.
Commercial
Manage day-to-day operations of commercial properties and community facilities.
Ensure properties are maintained in a safe, clean, attractive, and compliant condition.
Conduct regular property inspections and coordinate corrective actions.
Coordinate with Maintenance staff, contractors, and vendors to ensure quality service delivery.
Serve as the primary contact for commercial tenants, nonprofit organizations, and facility users.
Foster positive relationships and provide exceptional customer service.
Address tenant concerns, complaints, and operational issues in a timely and professional manner.
Coordinate tenant onboarding, lease administration, move-ins, and move-outs.
Ensure tenant compliance with lease agreements, facility policies, and operational procedures.
Oversee scheduling, utilization, and operations of community meeting spaces, event venues, and shared-use facilities.
Coordinate facility reservations, event logistics, and community programming support.
Develop and implement policies and procedures for facility usage.
Work collaboratively with community partners, nonprofit organizations, and stakeholders to maximize facility utilization and community impact.
Support equitable access to community spaces and services.
Monitor property revenues and expenses to ensure financial performance goals are met.
Assist with rent collection and lease compliance.
Identify opportunities for cost savings and operational efficiencies.
At least three years professional experience in commercial property management, condominium management, residential property management, business or similar field required.
College degree in Business Management or related field is preferred.
Experience in and knowledge of commercial property management, resident owned or controlled housing, federal, state and Burlington Landlord/Tenant laws and regulations strongly preferred. Experience with affordable housing programs including LIHTC, RD, HOME, and section 8 NC/SR 811 is a plus.
Combination of experience and education may be considered.
Demonstrated intermediate level proficiency with Microsoft 365 programs, especially Outlook, Word, Excel and SharePoint
Experience using Real Page OneSite software platform is a plus.
Reliable transportation, valid drivers’ license and ability to pass a criminal background check required.
Excellent oral and written communication, interpersonal, organizational, prioritization and time management skills.
Strong attention to detail, confidentiality, ability to exhibit sound judgment in high stress situations, proactively identify and address issues to minimize impact, and diffuse conflict.
Aptitude for computers and technology including software and mobile applications.
Intermediate skill level using Microsoft 365 suite.
Strong applied understanding of Fair Housing and other related regulations.
Working knowledge of LIHTC, RD, HOME, and state and local tenant laws and regulations.
Strong mediation, active listening, empathy, analytical, computer and technology, and planning skills.
Physical and Mental abilities: The Co-Op Property Manager must have the physical and mental abilities to perform the essential job duties listed above. However, reasonable accommodation may be extended to help perform those duties. The job entails long periods of sitting at a desk and significant travel to property sites. There may be prolonged periods of computer work and vehicle travel. While performing the essential duties of this job the Co-Op Property Manager may have to use hands and fingers, walk, stand, reach, or lift up to 25 pounds.
