Overview Employment in this role is conditional upon successful execution of the contract by the client. The Work The Program Administrator will ensure assist in successful program execution by assisting and coordinating all aspects of program operations, administrative activities, and stakeholder relationships in conjunction with the Program Manager. This role is critical in maintaining compliance with contractual requirements, meeting program deliverables, and fostering effective communication among all parties involved. Responsibilities Key Responsibilities * Manage Contract Deliverables and Documentation:
* Manage the contract deliverables calendar, staffing charts, vacancy-fill trackers, action and decision logs, meeting records, official correspondence, and controlled program files to ensure timely and accurate administration.
* Facilitate Reporting and Data Coordination:
* Coordinate data calls, develop and submit monthly reports, consolidate inputs for Program Management Reviews (PMRs), track workload metrics, and compile records as specified in the Performance Work Statement (PWS).
* Ensure Document Configuration and Audit Readiness:
* Maintain comprehensive document configuration management, version control, and visibility of deadlines while ensuring all deliverables include traceable, auditable artifacts for Government review and validation.
* Dual Knowledge Management and Program Data Support Role:
* Serve as a resource for both knowledge management and program data administration functions, ensuring continuity during periods of staff leave or surges in workload.
* Cross-Training and Administrative Coverage:
* Fulfill dual responsibilities as Contractor Program Administrator and Knowledge Manager, while providing backup for the Program Manager in maintaining critical administrative operations and ensuring seamless execution of the program's management rhythm.
* Other duties as assigned. Qualifications Qualifications - Here's What You Need The qualifications and skills listed below are intended to provide a general overview of the requirements for this position. However, due to the anticipated nature of the contract and the absence of a finalized task order from the client, this list should not be considered all-encompassing. Additional qualifications, certifications, skills, or experience specific to the client's requirements may be identified and requested upon award of the task order. Candidates should demonstrate flexibility and a willingness to adapt to evolving responsibilities as outlined by the client. * An Associate or Bachelor's degree in business, contract administration, information management, or a related field is preferred; however, equivalent professional experience will also be considered.
* A minimum of 5 years of experience in supporting Federal contracts, program administration, deliverables management, records maintenance, staffing data, or project controls is required.
* Top Secret/ SCI Clearance is required.
* Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment. Minimum Skills: * Exceptional interpersonal skills with the ability to communicate in a clear, professional, and articulate manner.
* Exceptional verbal and written communication skills.
* Excellent organizational, analytical, and problem-solving skills with high-level attention to detail.
* Proven ability to multitask and prioritize in a fast past environment with changing priorities; adaptable to change and a quick learner.
* Must be self-motivated and able to work well independently as well as on a multi-functional team.
* Ability to handle sensitive and confidential information appropriately
* Proficient in MS Office, Word, Outlook, PowerPoint, and Excel.
* Proficiency in document control, scheduling, Microsoft 365/SharePoint, data accuracy and quality management, meeting and action item tracking, deadline coordination, professional business writing, and maintaining discretion with sensitive or confidential information. Preferred Qualifications: * CAPM certification, training in records management, expertise in SharePoint or knowledge management, and contract administration.
